Library Board of Trustees Minutes of Meeting January 27, 2020 Sterling Heights Public Library 40255 Dodge Park, Sterling Heights, MI 48313 586-446-2665 I. Call to Order Meeting was called to order by Chris Frezza, Chair, at 5:30 p.m. II. Roll Call Members Present: Dave Brown, Shirley Cozort, Chris Frezza, Terry Hojnacki , Stacy Ziarko Members Excused: none III. Approval of Agenda Motion to approve the agenda was made by Brown, seconded by Ziarko. Motion carried. IV. Approval of Minutes Motion to approve the minutes of the meeting of November 18, 2019 was made by Hojnacki, seconded by Cozort. Motion carried. V. Communication from Citizens none VI. Monthly Reports, Statistics, and Correspondence A. Building-Wide Stats – FY2019 / FY2020 Board reviewed statistics. Circulation continues to be up compared to last year. Emedia circulation is down this month due to the discontinuation of the Freegal service. This was provided by the Cooperative. A vote of the members moved that funding to purchase Ancestry Library Edition for all libraries. The cost to continue Freegal for Sterling Heights was too costly compared to the usage. Collection size overall has increased due to the increase in e-media, but the physical collection size has decreased due to fewer physical shelves in the renovated building. Building Reference and Program Attendance are both higher this year compared to last year. B. Monthly Issues – November and December 2019 Board reviewed the monthly issues reports. Highlights: The Library had a fall reading program that was very popular. It is a smaller version of the summer reading program. A winter reading program is also currently being held. The Teen Advisory Board held a successful program in December. The annual Christmas open house was well received. The Upton House Museum is now open with regular public hours on Wednesdays 1-4pm and the first Monday of the month from 1-4pm from September – May. Two new pages were hired in December. A PT Librarian position is currently open. C. Compliment/Complaint Forms Board reviewed compliments. Received compliments for the Movie programs, Toddler Time, Shake, Rattle & Roll, Trivia Nights, Yoga program, the Wowbrary email service, and teen programs overall . Staff compliments were received for Tammy Turgeon, Tricia White, and the “friendly and knowledgeable staff”. Board reviewed suggestions / complaints. Complaint was received about cleaning staff working during library open hours. Some cleaning does need to be completed while the library is open, and has been very helpful when accidents occur. Complaint was received about the Hoopla service. Patron would like the library to purchase Freegal. This was previously paid for by the Suburban Library Cooperative and the costs are prohibitive to continue the service. The library will continue to look for an alternate music service at a lower cost. Question was received regarding adding the Cloud Library service. The library provided the patron with information about the other e-media services that we offer. A request was made to purchase a particular DVD, the request was forwarded to the librarian that does collection development for that section. A request was received for our large sign to be put up during closings. This will be done. Complaint was received regarding dirty tables in Programming Center. Cleaning staff was notified. VII. Suburban Library Cooperative The Cooperative is developing a strategic plan and is holding its first session this week. The process will continue into March with a final report being generated. Input will be gathered from member libraries, SLC staff and SLC trustees. VIII. Friends of the Library A. Bookstore Report The bookstore income ended lower for 2019 compared to 2018. B. Friends Treasurer Report All documents were sent to the accountant for the Friends’ 990. IX. Unfinished Business A. Building Updates The Library building is still on track to begin renovations in February and be completed in November. As soon as detailed information is available it will be shared with the Board, staff and the public. X. New Business A. Election of Officers Ziarko made a motion to reappoint Chris Frezza as Chair of the Library Board, seconded by Hojnacki. Motion carried. Brown made a motion to appoint Stacy Ziarko as Vice-Chair of the Library Board, seconded by Cozort. Motion carried. B. Proposed Library Budget 2020-21 The proposed budget includes a 2% increase overall in supplies and other charges. The book line item is requesting $3,230 more for e-media and the supplies line item is requesting $1,000 more for technical services supplies. Goals for this year include using Lean Six Sigma practices to improve library materials workflows in Circulation and Technical Services, developing a Strategic Plan, promoting early literacy resources, and increasing outreach efforts. A disc cleaner, a table and umbrella for the garden, and a school bus play structure were all requested through capital improvements. Service improvements requested were for a strategic plan consultant, a PT archivist, upgrading a PT Librarian to FT for Early Literacy, upgrading a PT Librarian to FT for Outreach, and adding a new subscription box service. The service improvement requests will be reviewed with the city manager and finance director in February. C. 2019 Library Volunteer of the Year Motion was made by Ziarko to select Mike Van Slembrouck and Bailey as the 2019 Volunteers of the Year, seconded by Hojnacki. Motion carried. D. 2019 Library Staff Member Recognition Motion was made by Ziarko to select Tricia White as the 2019 Library Staff Member of the Year, seconded by Hojnacki. Motion carried. E. No Fines Study Turgeon continues to research the trend of libraries moving to no longer charging overdue fines. XI. Adjourn Motion was made by Ziarko to adjourn, supported by Brown. Motion carried. Meeting adjourned at 6:30 p.m.
