The Suffolk Electoral Board meeting was held at the Voter Registration Office located at 440 Market Street, Suffolk and was called to order by Chairman Jim Oaks at 9:02 a.m. A motion to approve the minutes for the Electoral Board meeting held on September 6,2023 and the November 7-13,2023 canvass meeting was made by Secretary Baker. Vice-Chairman Rowlands seconded the motion. The minutes were approved by a unanimous vote ofyes. After a brief discussion between board members, a motion was made by Chairman Oaks to maintain the Electoral Board organization and positions with James Oaks as Chairman, Brent Rowlands as Vice-Chairman, and Isaac Baker as Secretary. Secretary Baker seconded the motion. There being no further discussion, the motion was voted on and passed with a unanimous yes. The 2024 Suffolk Electoral Board positions are: Chairman James Oaks Vice-Chainnan Rrent Rowlands Secretary Isaac Baker Secretary Baker explained the task of the ADA inspections cornpleted in 2023. He expressed a special thank you to Mr. Gerry Jones of Suffolk's Capital Programs department for his assistance. Vice-Chairman Rowlands and Chairman Oaks suggested an ADA Checklist be added to the duties of the election officials to get an early start on the ADA compliance that's due in October 2024. Chairman Oaks offered to help the Registrar with putting the checklist together. Chairman Oaks discussed the incident reports from the November 2023 General E,lection. Specific mention was made of three precinct chiefs who did not handle their provisional voters properly. Vice-Chairman Rowlands suggested that voters who appear to try to vote twice be tumed over to the Commonwealth's Attomey. He also suggested that an incident report sheet be available during canvass for the board to document incidents. Chairman Oaks discussed gathering input from the precinct chiefs and assistant chiefs. This would entail sending letters for suggestions for improvements and ADA observations for the precincts. The board agreed also to meet with the three precinct chiefs and asst. chiefs who did not keep up with the provisional voters. Any chief and asst. chief who did not carry out their election duties properly will have to meet one on one with the Electoral Board going forward.
