MEETING MINUTES
January 14, 2014

• The meeting was called to order at 1:10PM by Chairperson Mrs. Judith
Stone.
• The minutes of the October 8, 2013 meeting were accepted as presented.
• As mentioned at the last meeting, the Library has received a $2,000
foundation grant from Target for early childhood literacy efforts.
• Dr. Nancy Olivo, Director of Human Resources, is guiding us through a
strategic planning process. We are creating Mission and Vision Statements
for the library, which were distributed as draft copies. Mr. Rudy asked
Board members for feedback. The next steps include goals, objectives, and
organizational values.
• We have purchased surplus shelving and furniture from the City of
Chesapeake to use to enhance our facilities beginning at Chuckatuck.
• The Library budget has been submitted to Finance and the budget meeting
will be held February 27.
• Fleet Management has requested a new replacement vehicle for the
bookmobile in their budget submission.
• Our Marketing and Community Relations Coordinator is developing a
marketing plan. He is creating a new logo and we are hoping to have our
new logo on new library cards for April’s National Library Week.
• We are working with the Suffolk Art League to bring the Big Read Program
(Fahrenheit 451 by Ray Bradbury) to Suffolk in April, May, and June of 2015.
Library Systems from almost all of Hampton Roads Cities will be
participating.
• The Literacy Council met Tuesday, January 7th. Lisa Cross was re-elected as
President. For a fundraiser, letters will be sent out in December and March
requesting donations. They have received $5,000 from TJ Max, $5,000
from the Suffolk Foundation, and $1,000 in miscellaneous donations.
• Health and Human Relations Standing Committee will now be added to the
Library Board Meeting Agenda under Reports of Standing Committees and
Outreach Reports will be removed.
• The Health and Human Relations Committee met Tuesday, January 14th.
Mr. Rudy presented a short program on the Library’s new programs and
initiatives.
• City Council is reviewing the process for Boards and Commissions and the
City Attorney’s Office is providing training and resources to ensure
compliance with FOIA and open meeting laws.
• The Library Board reviewed the recommended revisions to the By-Laws
from the City Attorney’s Office and Ms. Banze made a motion to approve
the recommended revisions. Mrs. Nichols seconded the motion and the
Board unanimously approved by a vote of 5 to 0. As stated in the previous
By-Laws, revisions must be approved at the next meeting to be effective.
• Board vacancies were discussed. Mrs. Creekmore made a motion to
approve the following slate of officers:

Mrs. Sue Nichols, Vice-President
Mrs. Pam Hill, Secretary
The motion was seconded by Mrs. Langston and approved unanimously by
a vote of 5 to 0.
• Mrs. Nichols made a motion to change the Suffolk Library Board’s quarterly
meeting time to 2:00PM instead of 1:00PM. Mrs. Langston seconded the
motion and the Board unanimously approved by a vote of 5 to 0.
• The next meeting will be Tuesday, April 8, 2014 at 2:00PM in the meeting
room of the Suffolk Public Library’s Morgan Memorial Library.
• The meeting was adjourned at 2:45PM.
