City of Sunnyvale Meeting Minutes - Final Board of Library Trustees Monday, October 6, 2014 7:00 PM Sunnyvale Public Library, 665 W. Olive Ave., Sunnyvale, CA 94086 CALL TO ORDER The meeting was called to order at 7:01 p.m. ROLL CALL Present: 5 - Chair Jill Shanmugasundaram Vice Chair Anne Davis-East Board Member Wing-Yin "Carey" Au Board Member Daniel Bremond Board Member Su "Ray" Zhan PRESENTATION 14-0948 Teen Advisory Committee Work Plan 2014/2015 The Teen Advisory Committee (TAC) provided the Board with an overview of the Committee's work plan for fiscal year 2014/2015. They also provided a presentation that highlighted the committee's role, responsibilities and community participation. PUBLIC ANNOUNCEMENTS None. CONSENT CALENDAR 14-0759 Approval of Draft Minutes of September 8, 2014 Vice Chair Davis-East moved, Board Member Zhan seconded, approval of the consent calendar as presented. Board Member Bremond abstained due to his absence. The motion carried by the following vote: Yes: 4 - Chair Shanmugasundaram Vice Chair Davis-East Board Member Au Board Member Zhan No: 0 City of Sunnyvale Page 1 Board of Library Trustees Meeting Minutes - Final October 6, 2014 Abstain: 1 - Board Member Bremond PUBLIC COMMENTS None. PUBLIC HEARINGS/GENERAL BUSINESS 14-0963 Children’s Services Update Supervising Librarian Sue Kaplan provided the Board with an overview of FY 2013/2014 highlights for Children's and Teen's Services. Demand for services continues to grow. The Children's Summer Reading Program had 1,896 participants, of those 1,152 completed the program for a total of 19,000 books read. The Teen Reading Program had 638 participants, of those 364 completed the program for a total of 3,105 books read. She also noted that over 34,000 people attended children's program during the last fiscal year. Supervising Librarian Kaplan also provided the board with a presentation of programs being offered during FY 2014/2015. Staff continues to offer the After School Homework Center, eResources for Kids and Digital Safety Workshops. Administrative Librarian Sweeney provided the Board with an overview of the Library shifting project. The shift has allowed staff to expand the collection and programming area for both the children and teens. Chair Shanmugasundaram opened the public hearing, and there being no public testimonies, closed the public hearing. 14-0964 Preliminary Discussion of 2015 Work Plan Calendar Director Rosenblum presented the Board with the draft 2015 work plan calendar. City of Sunnyvale Page 2 Board of Library Trustees Meeting Minutes - Final October 6, 2014 14-0965 Annual Review of Code of Ethics and Conduct for Elected and Appointed Officials Chair Shanmugasundaram provided the Board with an overview of the 2014 Code of Ethics and Conduct for Elected and Appointed Officials. Chair Shanmugasundaram opened the public hearing, and there being no public testimonies, closed the public hearing. Vice Chair Davis-East moved, and Board Member Au seconded, to approve the Code of Ethics and Conduct for Elected and Appointed Officials. The motion carried by the following vote: Yes: 5 - Chair Shanmugasundaram Vice Chair Davis-East Board Member Au Board Member Bremond Board Member Zhan No: 0 14-0966 Update on Branch Library Director Rosenblum informed the Board that as of September 22 an appeal was filed regarding the purchase and sale of the Raynor Activity Center. Chair Shanmugasundaram opened the public hearing, and there being no public testimonies, closed the public hearing. NON-AGENDA ITEMS & COMMENTS -Board Member Comments Board Member Bremond provided the Board with an overview of his visit to Salt Lake City Public Library. City of Sunnyvale Page 3 Board of Library Trustees Meeting Minutes - Final October 6, 2014 -Staff Comments The following items were noted: On December 14, the Library will be celebrating its 100th anniversary. There will be displays of library memorabilia, programs for children and adults, music, food and more. Since June 2013, the Library has been operating a library material lending machine in the lobby of Columbia Neighborhood Center. The lending machine is currently stocked with books for young children in English and Spanish and popular titles for older children and teens. The popularity of the lending machine has steadily increased and as a result Period 3 shows an 89 percent increase in check out as compared with Period 3 of 2013. On September 10, Director Rosenblum accepted the County of Santa Clara Proclamation of Commendation for achieving Green Business at an award ceremony. The award was for adhering to green business practices at the Library, Senior Center and the Community Center. The Library is teaming up with San Jose Public Library, Santa Clara City Library, and Mountain View public Library to present the Library 2 Library Bicycle Tour. The Tour is scheduled for Saturday, October 18, starting at 9:30 a.m. at the San Jose Public Library Rose Garden Branch. Each library stop will include a guided tour of the library, a craft and a surprise event. INFORMATION ONLY ITEMS None. ADJOURNMENT The meeting adjourned at 7:48 p.m. City of Sunnyvale Page 4
