City of Tallmadge Board of Control Meeting Minutes August 8, 2024 7:30 p.m. Mayor’s Conference Room Members Present: Mayor Carol Kilway, Finance Director Mollie Gilbride, Law Director Megan Raber, Director of Public Service Mike Rorar, President of Council Adam Bozic Meeting Chaired By: Mayor Carol Kilway Minutes: Tina Fiocca 1. Call to Order and Approval of B.O.C. Minutes: Mayor Kilway called the meeting to order at 7:59 p.m. 2. Adoption of BOC Minutes, July 11, 2024: Megan Raber moved to adopt the Minutes of the July 11, 2024, B.O.C. meeting; seconded by Mollie Gilbride. Vote to approve: 5/0. 3. Consideration and approval of Change Order #3 for Concrete Maintenance & Repair to Don Wartko Construction, Inc. for a final reconciliation of the purchase order. The total decrease will be $35,313.30, bringing the new contract total to $440,107.45. The original project was approved by Council in Ord. 2024-3. Mike Rorar: We did well this year and didn’t expand past our number. We also put in a little bit of padding. Megan Raber moved to approve; seconded by Adam Bozic. Vote to approve 5/0. 4. Authorizing the rejection of the bid for Misc. Repairs & Remodeling of Tallmadge Fire Station #1 in accordance with Ohio Revised Code 153.12. One bid was received and was more than the 20 percent (20%) of the engineer’s estimate. Mike Rorar: The bid estimate was $110,000. The bid came in at $163,000 which was over by $53,000. Unfortunately, we had to reject the bid. We will go to plan B. We’re not sure what plan B is yet. Adam Bozic: What are we legally able to do when we reject a bid? Can we piece part of it together. Mollie Gilbride: There’s some things we can do. We’re going to look at it to see what is under the bid threshold. Mollie Gilbride moved to reject; seconded by Adam Bozic. Vote to reject 5/0. 5.
