Registrar of Voters Board Meeting Minutes Date and Time: Tuesday, October 23, 2018 at 5:00 p.m. Place: Temporary City Hall 141 Oak Street, Maxham School Registrar of Voters Office, Room #4 Taunton, MA 02780 Attendees:  Bill Tranter, Chairman  Carol Welch  Roger Hoffmann  Elizabeth Pottier Meeting was called to order at 5:00pm Meeting minutes for September 18, 2018 -- Motion to approve minutes as present, motion carried, 4-0 Voucher Review – no vouchers to review NEW BUSINESS Early Voting The “I-box” is setup for voters in the City Council chambers at the temporary City Hall. Voters will appear as “EV” on the voter roll if they voted early. Voting early ends November 2nd; the printer attached to the “I-Box” produces a scan at the bottom of the receipt. The receipt is attached to the ballot envelope and the ROV department scans the receipt and the computer identifies the voter as “EV”; this will appear on the voter rolls used for Election Day. The ballots are hand-delivered by the City Clerk’s office to the ROV office and together, each counts the ballots delivered. When the totals match, the City Clerk’s office leaves the ballot box with the ROV board to scan the ballot receipt (see notes above) for recording the voter as already voted in preparation for the voter roll list used on Election Day. ROV Assistant to the Board The ROV Assistant to the Board recently resigned. The ROV board must hire a replacement. The ROV board agreed to pay the Principal Clerk out of her pay-grade since she is performing the Assistants role retroactive to 10/15/18 – motion to pay the clerk retroactively, motion carried 4-0. The ROV board needs to post the Assistant’s job – the Board motioned to post the job for the number of days required by HR, motion carried 4-0. The Board will meet on October 30, 2018 to discuss filling the Assistant’s job.
