Registrar of Voters Board Meeting Minutes Date and Time: Tuesday, September 17, 2019 Place: Temporary City Hall 141 Oak Street, Maxham School Registrar of Voters Office, Room #4 Taunton, MA 02780 Attendees:  Roger Hoffmann  James Clasby  Elizabeth Pottier  Carol Welch Meeting was called to order at 5:00 pm Meeting minutes for August 13, 2019; motion to accept the minutes carried 4-0. Vouchers reviewed and motion to approve carried 4-0. NEW BUSINESS o ROV Board Chairman, Bill Tranter resigned his position as of the August 13, 2019 meeting. The Mayor of Taunton appointed a new member, James P. Clasby o Since the ROV Board Chairman resigned the Board needed to nominate a new Chairman. Roger Hoffman was nominated unanimously. The nomination, per policy, pends until the next meeting. If no new nominations are received at the next meeting then R. Hoffmann will be finalized as Chairman. OLD BUSINESS o The Board will send a letter to the City Council requesting death notices be sent to the ROV office on a quarterly basis. Currently, this information is received annually and may arrive as late as September for the ROV office to process. Quarterly notices would allow the office to process the information in a timely manner. o Notes: 8/23/19 - Death notices received annually from the Secretary of State’s office; notices reviewed and voters removed accordingly. Board discussed options to receive death notices more timely vs. once per year. The Secretary of State’s office provides the information annually. The Board would like the ROV office to receive notices monthly vs. annually. This would make the process more efficient vs. the office receiving it (usually in the fall) prior to the start of the election cycle. The Board will review options for the office to receive the notices more timely. The meeting adjourned at 5:45 pm Next meeting scheduled for October 22, 2019 at 5pm
