CALL TO ORDER Donna Schauland 2 Meeting called to order at 4:05 p.m. II. CITIZEN COMMENTS: This is the time for citizens to comment on items within the Donna Schauland 2 jurisdiction of the Advisory Board. The Board cannot legally discuss or take official action on citizen comments that are introduced today. Each speaker will be allowed 3 minutes, with a maximum of 10 minutes per item, unless otherwise extended by the board. None III. COMMUNICATIONS: Communications are to be submitted 10 days prior to a Donna Schauland 2 meeting to be considered for this section of the Agenda. No action will be taken on matters listed under Communications; however, the Board may direct staff to schedule issues raised during Communications for a future agenda. Citizen comments will be limited to 3 minutes per topic, unless otherwise extended by Board. None IV. ITEMS OF STUDENT INTEREST Alejandra Alfaro 5 Alexandra Arroyo  School is starting again after a long winter break. Anthony Galindo V. CONSENT CALENDAR: All Consent Calendar items are considered routine and will Donna Schauland 2 be enacted in one motion. There will be no separate discussion of these matters unless a request is made, in which event the item will be removed from the Consent Calendar to be discussed and voted upon by a separate motion.  Approval of Minutes – December 20, 2017  Minutes approved: Ellen motioned and Terry seconded VI. SCHEDULED CITIZEN OR GROUP PRESENTATIONS Donna Schauland 2 None VII. GENERAL BUSINESS Donna Schauland 3  Community Services updates Rob Hunt 10 The city has asked the Community Services Department for a 5% budget cut over this year’s budget. This equals about $300,000 through Heidi Clark 10 all departments including the library. Current items under consideration are CIP and development projects. This cut is part of the City’s response Library Staff 10 to the PERS Reform which will likely mean more budget adjustments in the future. The council will meet in June to approve the new budget.  Snapshot of Stats & Library Updates, Board Members December was a quieter month in terms of numbers although we did have extra kids activities during and internet usage stayed the same. Staff enjoyed two three day weekends. Early dismissal on Wednesdays creates a noticeable impact at the library. Melissa estimated we get about 30 middle/high school students in the building in excess of the normal amount during the rest of the week. It is difficult to keep track of them all. Most kids are well behaved but some groups have to be asked to leave. Heidi requested ideas on how to handle the situation. In the past, the library has tried movies, LEGO activies but the kids do not seem interested in structured programs. They appear to just want a space to talk and hang out.  Programs & Outreach (COHS graduation; Reading Challenge; Project Homeless Connect; Dr. Seuss Day (2/24); SRP 2018; Dashboard) COHS – Jane is planning the ceremony and the confirmed time is 3:30 on Saturday, January 20th. There are 3 ladies graduating. The mayor is scheduled to speak along with a Library Advisory Board member. There will be refreshments. Reading Challenge – This is a yearlong program. Heidi saw a similar one at another library and modified it to fit the community here. There will be 4 quarterly drawings with a grand prize at the end. This is a way to generate adult engagement. The library provides a lot of great kids programs and now wants to see more adults connecting. There were some questions about what happens if a patron loses their game sheet. For now, the library will operate on the honor system and allow for replacements. Michelle suggested a file at the front desk to keep game sheets for patrons. Project Homeless Connect – This is an outreach program the library has participated at in the past. Jane will be representing the library this year and talking about library resources and programs. It is a good networking opportunity for the library as well. In the past, the library knitting club has provided hats but has not made official plans to do so again this year. Dr. Seuss Day – Officially the date is March 2, but Melissa has always scheduled the event for the last Saturday in February. This year will be mostly staff run although a guest reader might still be coming. SRP 2018 – The theme is “Reading Takes you Everywhere.” There are a lot of ways to interpret the theme like travel or a science fiction emphasis. The kids program will run the same as last year. Adults may do some combination of the Reading Challenge already in place. Child Safety Policy (not on agenda) – After an incident at the library, Melissa realized the current Child Safety Policy does not clearly state that the library is not responsible for children. This might need to be updated along with the volunteer policy in order to cover the library from future issues. Dashboard – Currently, Heidi only provides the Snapshot of Statistics to the Library Advisory Board. She is looking to create a dashboard to present to City Council. Rob met with Librarians to discuss ideas and Heidi recently met with the marketing team at the library. The goal is to give the Council a picture of what the library does. Heidi is thinking of three categories of information 1) Traditional Library Services including circulation and door count 2) Community Partners which will highlight all the groups the library works with 3) Special Programs like COHS and the Adult Reading Challenge. Heidi is also looking at ways to include the human element. To this effect she is brainstorming a “stats and stories” bookmark which would feature quotes from patrons to go with traditional statistics. Heidi requested specific feedback from the Library Advisory Board. Some ideas which came up were to get patrons to come to city council and talk about the library. Face to face communication has more meaning than numbers. If patrons cannot physically go to the meetings then maybe the library could record interviews and play the video at council meetings. The board felt strongly that pictures of people, especially children, are good ways to make an emotional impact on decision makers. There must be a human element to any presentation. Also, need to communicate what the libraries do in everyday language. If statistics are used, the board recommended highlighting special programs like storytime, Paint Night, and others so that the community gets a sense of all the things the library does. Live Stream for Veterans (Not on Agenda) – There will be a Town Hall meeting about Veteran’s health care in Fresno on Jan. 19 from 4 – 6 p.m. Jane is going to provide a live stream of the event here at the library for people unable to attend. Attendees will be able to ask questions via Facebook during the event. This is the first time the library has used technology this way.  Suggestions from the Board Michelle raised the issue of how Paint Night was marketed on Facebook. She found the wording confusing and thought she had registered but found out later she had not. Staff will take this into consideration for future social marketing campaigns and try to make registration process more clear. VIII. ITEMS OF BOARD MEMBER INTEREST Donna Schauland 2 IX.
