The Urbana Free Library Board of Trustees Minutes of a Regular Meeting Held on Tuesday, October 9, 2018 CALL TO ORDER The Urbana Free Library Board of Trustees met in the Lewis Auditorium of The Urbana Free Library on Tuesday, October 9, 2018. The meeting was called to order by the vice-president, Beth Scheid, at 7:00 p.m. ATTENDANCE Present: Geoff Bant, Barb Bennett, Barbara Jones, Jared Miller, Beth Scheid, John Thies, Michael Weissman, and Jane Williams Absent: Chris Scherer Staff present: Becky Brown, Elaine Bearden, Celeste Choate, Rachel Fuller, and Anke Voss ADDITIONS, CORRECTIONS, MODIFICATIONS OF THE AGENDA None. APPROVE THE AGENDA It was moved by Jared Miller, seconded by John Thies, and passed unanimously to approve the agenda as presented. CALL FOR EXECUTIVE SESSION None. PUBLIC COMMENT None. PRESENTATIONS Elaine Bearden gave a presentation on the Summer Reading Program. This year’s theme was Reading Takes You Everywhere. The Summer Reading Kick-Off party was sponsored by Larry and Margaret Jobe and featured Jean Rene Balekita and Bomoyi. The program started May 21 and included all ages, birth to adult. Children recorded minutes read, for a total of 436,200 minutes read this summer. Teens recorded pages read and totaled 287,977 pages. Adults recorded books read, totaling 1,827 books read for the program. Three preschools participated with their students. Elaine highlighted the events of each month, mentioning the various programs, collection developments, and programming partners. The Friends of the Library gave out 1,238 book prizes and three Kindle Fire tablets to encourage and reward participants. ACTION ITEMS (CONSENT AGENDA) It was moved by Michael Weissman, seconded by Barb Bennett, and passed unanimously to approve the consent agenda as presented. Board of Trustees of The Urbana Free Library – Minutes for the meeting of October 9, 2018 – Page 2 ACTION ITEMS (INDIVIDUAL) It was moved by John Thies, seconded by Jared Miller, and passed unanimously to approve Resolution Number 2018-15 the Agreement between The Urbana Free Library and A&R Mechanical Contractors, Inc. as presented. It was moved by Barbara Jones, seconded by Michael Weissman and passed unanimously to approve renaming a second Resolution 2018-15 to Resolution 2018-16. It was moved by Jared Miller, seconded by Geoff Bant, and passed unanimously to approve Resolution 2018-16 the Agreement between The Urbana Free Library and Reliable Plumbing and Heating Company. It was moved by Barbara Bennett, seconded by Geoff Bant, and passed unanimously to approve the Homefield Energy invoice for $10,300.53. Michael Weissman reminded the Board that when the opportunities come up, the Board and Library need to look at ways to reduce the energy bill. DISCUSSION ITEMS None. REPORTS OF LIAISON OFFICERS Friends of the Library The Friends have not met since the last Board meeting. The Urbana Free Library Foundation The Foundation will meet on Wednesday, October 17. Illinois Heartland Library System Geoff Bant reported that he is attending the Illinois Library Association Trustees’ Day. ADMINISTRATIVE REPORTS Celeste Choate publicly thanked Becky Brown for working on the Munis transition. The Library switched payroll to the new system in October. Barbara Jones commented on the Pygmalion Festival and the Library’s program featuring the amazing poet, Elizabeth Acevedo. She also requested that Celeste let the nominating committee for the Immigrant Welcome Awards know that it would be helpful for people making nominations to receive confirmation of their nomination. Beth Scheid was excited about the installation of the RACES Sculpture on the corner of Race and Green Streets. Geoff Bant was pleased that the Library will start interloaning audio visual materials on November 1. He also brought a copy of a check sheet to show how IHLS meets the reporting requirements for reviewing By-Laws. Board of Trustees of The Urbana Free Library – Minutes for the meeting of October 9, 2018 – Page 3 There was discussion about the Urbana Park District Study Report, “Increasing Involvement among Underrepresented Groups in Parks and Recreation Programs” which Celeste had included in the Board packet. Anke Voss reported on Megan’s Garden, which has been made beautiful by the Champaign County Master Gardeners. The Library is very grateful to Christie Roszkowski and Christina Nordholm for all their lovely work. BOARD PRESIDENT REPORT No report. UNFINISHED BUSINESS None. NEW BUSINESS None.
