Warrensburg Convention & Visitors Bureau Minutes Zoom 10 a.m. Thursday, February 9, 2023 A meeting of the Warrensburg Convention and Visitors Bureau was held by Zoom on Thursday, February 9, 2023 at 10:04 a.m. with President Tom Koenigsfeld presiding. Roll was called as follows: Present: Tom Koenigsfeld, Ginny McTighe, Scott Thomason, and Diane Thompson; and exofficio members Chris Deal and Jim Kushner Absent: Kelly Brooks, Dana Phelps, and Diane Whitworth; and exofficio member Danielle Dulin The adoption of the agenda was considered. McTighe made a motion to adopt the agenda as presented. The motion was seconded by Thomason. Motion passed. Minutes of the January 12, 2023 WCVB Board meeting were considered. McTighe made a motion to approve the meeting minutes as presented. The motion was seconded by Thomason. Motion passed. Financial report* was provided by the WCVB director. FY 2022-2023 As of February 6, 2023, 22% of budgeted expenses have been incurred. As of February 6, 2023, 27% of the budgeted revenue have been received. January and February transfer by the City had not been completed by report date. Still waiting on needed documentation from Madden Media for the MDT MMG 2023 Quarter 2 reimbursement of $22,286. *Unaudited numbers provided. The WCVB director provided an update on the renovation of 205 North Holden Street. The WCVB has not received notification from Missouri Department of Economic Development regarding the Local Tourism Asset Development Grant. The City of Warrensburg IT Department has provided an estimate of the technology needs for the move to the property. The estimate is $9,570. The director is working on estimates/bids for furniture and the awning. The WCVB director presented a change order from Enneking Construction for the renovation of 205 N Holden. The change order is for $35,964. The order is for the moisture issue in the crawl space. It includes a sump pump installation, dehumidifier installation, cleaning the space and installing a vapor barrier, and supporting and replacing the subfloor. McTighe made a motion to approve the change order allowing the WCVB director to sign. The motion was seconded by Thomason. Motion passed. The WCVB director presented a request to the City of Warrensburg’s Council regarding the usage of the $70,000 ARPA Funds the City received in 2022 earmarked for tourism. The director is proposing the funds be allocated toward the renovation of 205 North Holden Street into the Warrensburg Visitor Center. The WCVB is utilizing its fund balance to pay the renovation and furnishing expenses. The renovation contract came in higher than anticipated. McTighe made a motion to approve the request to City Council for the $70,000 ARPA funds earmarked for area tourism be used for the renovation of 205 North Holden Street. The motion was seconded by Thompson. Motion passed. The WCVB director presented a request for a letter of support for Missouri Department of Transportation’s application for a planning grant to the federal government regarding three daily trains on the Missouri River Runner. McTighe made a motion the WCVB provide a letter of support for MODoT’s application. The motion was seconded Thompson. Motion passed. The WCVB Director provided an update on the WCVB’s Strategic Plan. The WCVB Director provided the Director’s Report. The director discussed upcoming events; past events; important dates for the Visitor Center; and upcoming agenda items to be presented to the Board. The City of Warrensburg update was provided by Mayor Jim Kushner. The Warrensburg Parks and Recreation update was provided by WPR Interim Director Chris Deal. The WCVB Director reminded the Board of the upcoming WCVB Board meeting schedule. Thompson made a motion to close part of the meeting pursuant to Section 610.021 of the Revised Statues of Missouri relating to: 12. Documents or any documents related to a negotiated contract until a contract is executed, or all proposals are rejected.
