Warrensburg Convention & Visitors Bureau Minutes Zoom 10 a.m. Thursday, January 11, 2024 A meeting of the Warrensburg Convention and Visitors Bureau was held by Zoom on Thursday, January 11, 2024, at 10:04 a.m. with President Tom Koenigsfeld presiding. Roll was called as follows: Present: Kelly Brooks, Tom Koenigsfeld, Ginny McTighe, Dana Phelps, Diane Thompson and Diane Whitworth; and exofficio member Chris Deal, Absent: Scott Thomason; and exofficio members Danielle Dulin and Jim Kushner The adoption of the agenda was considered. McTighe made a motion to adopt the agenda as presented. The motion was seconded by Brooks. Motion passed. Minutes of the December 14, 2023, WCVB Board meeting were considered. McTighe made a motion to approve the meeting minutes as presented. The motion was seconded by Phelps. Motion passed. Financial report* was provided by the WCVB Director. FY 2023-2024 As of January 10, 2024, $88,696 revenue has been collected. As of January 10, 2024, $19,485 expenses have been incurred. *Unaudited numbers provided. November Lodging Tax Collected: $26,999 *Bank Balance: $238,266 (*Not Reconciled as of 1/10/2024) The WCVB Director provided an update on the WCVB’s Strategic Plan. The plan will be updated by the Board in 2024. The director is reaching out to possible facilitators to assist with the update. The WCVB Director provided an update on the Warrensburg Visitors Center. The installation of the security cameras has been scheduled for Thursday, January 25, 2024. The director discussed the mission of the Center. Currently, as per the Board upon purchasing the property in 2021, the Center does not have insurance to cover outside rentals nor does the WCVB have the resources to maintain an event venue. Nonprofit organizations in our community do have spaces and they budget for the revenue to continue their mission. WCVB staff is directing individuals/groups who reach out to contact the nonprofits in the area with event space. Staff have made it a priority to collect visitor data in 2024, to assist with decisions in the future such as hours, etc. The Visitors Center Manager job announcement was posted the first of January. The goal is to have someone hired and onboard mid-March. The Center was nominated for Main Street’s Renovation Project of the year. The award will be announced at their evening of excellence event Tuesday, January 23. Staff continues to work on the Local Tourism Asset Development Grant reimbursement process. The WCVB Director provided an update on the grants the WCVB is working on. This includes grants awarded to the WCVB and from the WCVB. The WCVB Director presented the WCVB’s 2023 Annual Report. The report will be shared with Council and a pdf will be sent to the Board to review at their leisure. The WCVB Director provided the Director’s Report. The director discussed upcoming events; past events; important dates for the Visitor Center; and upcoming agenda items to be presented to the Board. The Board was informed of Scott Thomason’s resignation effective immediately. The director will work with the Mayor and City Clerk on the appointment to fill the vacancy. The Board in consensus agreed the Board’s meeting format for 2024 would remain the same as it was for 2022 and 2023. The Board will meet in-person quarterly and Zoom the remaining months. The next meeting is scheduled for February 8, 2024. From conversations with several board members, we may not have quorum that day. The Board will be surveyed for their availability and the meeting may be moved. The WPR Director Chris Deal provided an update from Warrensburg Parks and Recreation. The meeting was adjourned at 10:57 a.m.
