WaunaBoom 2024 Event Recap Meeting Minutes 7/17/2023 (Wednesday) 6:00 p.m. PinSeekers – 6909 River Rd DeForest, WI. Members: Connie Gavinski, Chris Zellner, Amie Zellner, Julie Zellner, Michelle Johnson, Stacey Ryan, Jade Hofeldt, Alex Schmalz, Courtney Morehart, Cindy Kobza, Ellen Schaaf, Trudi Leder, Jen Schmalz, Kristin Runge 1. Public Comments – no public present 2. Minutes review – committee approved June meeting minutes 3. Review 2024 Event a) Vendor Feedback a. Committee reviewed food carts b. 18 total with good variety. c. Good amount of table and tents d. New placement and parking in loop worked well, do again next year. e. Consider increase in vendor fee next year if drink sales allowed f. Exclusive dumpster use worked well g. Should be notified of power needs during registration b) Activities a. Committee reviewed 2024 activities b. Bike parade new location went well. Consider two separate age parades for 2025 c) Budget a. K. Runge to request continued support from Village for fireworks b. Continue fundraising efforts and explore new potential sponsors. d) Misc. recap from committee members a. Fireworks – awesome b. Videography/Photography – should receive sneak peaks back soon c. Bussing – went well. Consider reworking of routes when new school is built d. Volunteers- 5th St. monitor 2 shifts, add to list 2025. e. Bands – great. Keep both for 2025 f. Drink stands/Pepsi – problems with drains. Less variety needed. E. Schaaf and C. Zellner to meet with provider to discuss future. g. Beer Tent – add 2nd entry for 2025, add ATM for 2025, consider donation boxes on bar, next year sell water as only non-alc option.  h. Blackhawk/Flyover – Blackhawk cancelled last minute due to weather. Request same time next year, 2-4pm. Flyover at 2:50 was awesome. C. Morehart to request again 2025 i. Clean Up – trash cans placed well still need more, additional wheeled cans would have been helpful, Pelleteri donated 100 boxes and large dumpster at North lot. Beer tent emptied own but can’t lift them, need bags? Boy scouts and families helped next day at 9am, big help. j. Two Men and a Junk Truck – huge help! Just 1 radio for Neal for 2025. 2 UTVs. Team of 4. Finished around 2:00am. Requested for ladder for Pelleteri dumpster 2025, does side wall open? k. Signage – lessen amount of signage for 2025, many can be combined, tossed, more uniform, or less cluttered. Consider bulletin board at entrances or digital options. l. Port-o-Potties – Provider Monson. great! Very clean. Good placement but need more. m. Handicap Shuttles – committee discussed driver age requirements and dedicated handicap signage for specific shuttles. n. Advertising/Marketing – website to be updated with new pictures/videos, Facebook posts throughout the day, WKOW interview day of, felt it was a good amount of coverage. e) Concerns a. Pedestrians and bikes in park on 3rd and 4th, discussed ways to mitigate b. Discussed need for road through park to be redone c. C. Morehart to handle returning broken Connect 4 game d. More volunteers needed! e. Committee reviewed 2 EMS calls, all individuals okay. f. Address park speaker system for music and emergency announcements. g. Discussed need for park monitoring heavily on 3rd for vandalism/theft f) New Ideas for 2024 a. Committee discussed new ideas for 2024 b. General statement regarding authority of yellow committee shirts c. Discussed addition of QR codes in various areas of park 4.
