WESTWOOD FREE PUBLIC LIBRARY BOARD OF TRUSTEES MEETING MINUTES MEETING DATE: Tuesday, December 19, 2017 CALLED TO ORDER: at 7:02 p.m. by Vince Fitzpatrick. PRESENT: Martha Urbiel (MU), Vince Fitzpatrick (VF), Noeline Grefrath (NG), Mike Violano (MV), Pete Fedorchak (PF), Bev Karch (BK), Suzanne Gorham (SG), Beth Dell (BD), and Dennis Farrell (DF). SUNSHINE LAW: Read by VF. PUBLIC FORUM: No members of the public were present. MINUTES: A motion to accept the minutes of the November 28th meeting was made by BK; seconded by VF. The motion carried. TREASURER'S REPORT: The treasurer's report and cash management fund was presented by NG. A motion to accept the treasurer's report was made by VF and seconded by PF. The motion carried. The current bills list (5929-5953) was distributed. BK asked about the bathroom door closer (check 5951); MU explained this keeps the bathroom closed. A motion to accept the bills list was made by VF and seconded by PF. The motion carried. COMMITTEE REPORTS: None CORRESPONDENCE: None. DIRECTOR'S REPORT: MU reported the Home for the Holidays program at the library on December 2nd was very well attended and enjoyed by all. A Grief Support Group is now holding meetings at the library once a month. Two more quotes have been solicited for the roof replacement. MU also stated that another quote has been received for security cameras. The test of the fire alarm system was successful. MU also met with a designer for the library renovation project. An account for the capital reserve funds has also been opened. OLD BUSINESS: HVAC—BD explained that Aspen assessed the HVAC at Borough Hall and at the Library. Aspen declined to bid on the Borough Hall project and reported that the Library HVAC System was OK. BD stated they could quote on replacement of the library HVAC. A brief discussion followed. The library HVAC was initially installed circa 1970s and was updated in the 1990s. Aspen has been the service company of the library HVAC at some point in the past. MU proposed to secure bids for the library’s HVAC system. DF suggested contacting PSE&G for an audit as a first step. VF asked about the fire and burglary alarm systems used by the Borough? Can we know the vendor and the see the contract? Can we also investigate the systems used by other libraries? MU proposed to move forward with the security cameras at a cost of $4,000. She agreed to send to the Building and Grounds committee for a meeting tomorrow at 11:30am. The library renovation project to convert the director’s office into a meeting room is moving forward. A presentation is to be scheduled for the January Board meeting. NEW BUSINESS: SG reported that she is researching ideas and plans for the 100th Birthday of the Library in 2019. She is start proposing plans early next year. Board meetings in 2018 will be scheduled for the fourth Monday of the month. The next meeting is Monday, January 22 at 7pm. MEETING ADJOURNED: A motion to adjourn was made by VF; seconded by PF.
