BOARD OF TRUSTEES MEETING MINUTES
MEETING DATE: Monday, June 22, 2020
CALLED TO ORDER: at 7:07 p.m. by Dennis Farrell.
PRESENT: Martha Urbiel (MU), Dennis Farrell (DF), Noeline Grefrath (NG), Suzanne Gorham
(SG), Bev Karch (BK), Mike Violano (MV), Frank Zimmerman (FZ), Claudia Gonzales-Doell
(CGD) and Rob Bicocchi (RB).
SUNSHINE LAW: Read by DF.
PUBLIC FORUM: Due to the Coronavirus and rules about public gatherings the board meeting
was held online though the Zoom application. One member of the public, a boy scout, called in.
MINUTES: BK made a motion to accept the minutes of the May 18 meeting; seconded by FZ.
The motion carried.
TREASURER'S REPORT: NG presented the treasurer’s report and cash management fund.
The total for the checking account, cash management fund and capital account is $153,690.31.
BK made a motion to accept the treasurer’s report; FZ seconded. The motion carried.
The current bills list numbered 6568-6604 was distributed. BK offered a motion to accept, SG
seconded. The motion carried.
MV suggested the Budget Committee meet to review the first half 2020 budget
actuals—expenses and income—and adjust the July-December expense projections if necessary.
COMMITTEE REPORTS:
Building and Grounds Committee: MU stated the Building and Grounds Committee met to
review the Level 2 plans for curb side pickup approved by the Governor starting June 16. Staff in
the library is limited to three at any time. The library is open from 10am to 2pm Monday to
Friday; evening hours are 5-8pm on Mondays. Patrons must wear masks to pick up their books
and materials which are placed on tables in the library vestibule. Only Westwood books and
materials are available to Westwood patrons. Returned books and materials will be quarantined
for three days. On the first day (June 17) there were 111 requests; since then there have been
about 70 requests per day.
DIRECTOR’S REPORT: MU stated that virtual programming continues. There were 18
children’s programs with a total of 1,800 views and 11 adult programs, including genealogy and
job help, in the last month.

Summer reading has started with 100 kids registered. Prizes are being funded by the Friends and
include items from local merchants such as Café Anello and Tons of Toys.
The Hot Water Heater was replaced.
An I CAN BE an architect video program was organized by Judie and Denise and featured
architect Bill Martin. An article on the video appeared in the NJ AIA newsletter.
OLD BUSINESS: MU stated the library reopening is going well. She is evaluating the hours and
will adjust pending demand. BK suggested that the library hold to the current Level 2 schedule
until the next board meeting.
Neighbors Helping Neighbors meetings are being conducted using the Library’s Zoom account.
NEW BUSINESS: MU stated that a half year budget review is not really needed. MV stated that
expenses are only $7,000 over budget for the first 6 months, which is not much, but purchase of
digital downloadables are running very high and will likely continue.
The Friends of the Westwood Library have not conducted book sales since February; fund
raising for the rest of the year will be minimal at best.
MU plans to schedule Building and Grounds and Budget committee meetings in the coming
months.

adjourned at 7:54 p.m.
