WESTWOOD FREE PUBLIC LIBRARY BOARD OF TRUSTEES MEETING MINUTES MEETING DATE: Monday, February 27, 2023 CALLED TO ORDER: at 7:03 p.m. by Dennis Farrell. PRESENT: Martha Urbiel (MU), Denise Farrell (DF), Noeline Grefrath (NG), Suzanne Gorham (SG), Bev Karch (BK), Claudia Gonzales-Doell (CGD), Linda Phayre (LP), Frank Zimmerman (FZ), and Chris Montana (CM). SUNSHINE LAW: Read by DF. PUBLIC FORUM: No members of the public were present. MINUTES: BK requested the minutes be corrected to match what was approved at the January 23 meeting. Correction #1: Annual Authorization of Library Board President and Board Treasurer to approve bill payments when there is not a quorum. Correction #2: Annual Resolution authorizing Board President to declare a closing, delayed opening, or early closing for inclement weather and other emergencies. Any other closing, delayed opening, or early closing not on the calendar must be approved by the full Board. BK made a motion to accept the minutes of the January 23 meeting with corrections; SG seconded; The motion carried. TREASURER'S REPORT: CGD presented the treasurer's report and cash management fund. The total of the checking account, cash management fund, and capital account is $154,260.00. A motion to accept the treasurer’s report was made by NG; seconded by LP. The motion carried. The current bills list (7259-7276) was reviewed. SG questioned the charge for chairs. MU clarified that 25 chairs were ordered. A motion to accept the bills list was made by NG; seconded by LP. The motion carried. COMMITTEE REPORTS: None. DIRECTOR'S REPORT: MU shared that the HVAC was installed and is running well. The unit is the correct size for the space and easy to control. The small HVAC unit in the lobby is the only unreplaced unit. Work was completed on the downstairs stairwell. The leak was identified and repaired. MU still anticipates upgrades to the bathrooms and community room downstairs, as well as creating new meeting space upstairs. MU received a history grant for $1,800 towards putting more, fully searchable, materials online. PRESIDENT'S REPORT: None. OLD BUSINESS: Friends of the Library will hold a fundraiser at the Library on April 19. MU shared a revised January agenda reflecting approved language for authorizations. NEW BUSINESS: MU completed the State Aid Application. MU explained that the fax machine had not been working for a period of time and explained the importance of having a working fax machine at the Library for employee and public use. MU shared that there was a breach by the Borough of personal employee information. CM shared that all affected parties will be offered one year free of LifeLock. MU shared information for a board trustee training on March 20. MEETING ADJOURNED: BK made a motion to adjourn; FZ seconded. The motion carried. The meeting was adjourned at 7:32 p.m. by SG.
