Boundary St., 23185 Call to order: Chair Thomas Phelps called the meeting to order at 3:00. Attending: Thomas Phelps, Robin Phillips, Barbara Vollmer, Susan Corbett, Robert Leek, Georgianna Avioli. Joanna Skrabala, Tourism Development Specialist Absent: Nick Vrettos, Nancy Sullivan Minutes: Minutes of July 19, 2023 meeting were approved. Thank you to Bob Leek for taking minutes in absence of secretary, Georgianna Avioli. Chair report: a) Liaison reports were reports of good news. b) Discussion of meeting dates with request to get them on our calendars, especially January 17, 2024 for grant review and Forum on February 8, 2024. Other dates concerned grant deadlines, etc. Tom reminded commissioners to remind liaisons. Staff report: Joanna – release of funds – few have not requested money. Tom has been asked to speak to Clubs (e.g., Rotary) about Art. Tom asked Joanna to save photos of groups; some have already remitted some for use if they are needed for speaker events. Photos are from the organizations themselves. Good for our files. Subcommittee Reports: a) FY24 Forum Planning Robin – speaker choice to be made between Chris Wininger and someone from Network Peninsula. Tom spoke to expertise of Chris W. She is quite experienced with such work. After discussion, Committee chair Robin requested Chris Wininger as speaker or Forum. Barbara made motion and Bob Leek seconded. All in favor. Susan Discussion about Chris wanting to speak with some of our grantees to see what their concerns are so it could be addressed at Forum. Committee will meet with Chris. b) FY Grant Funding Guidelines Barbara suggested several refinements for Grant Application. Page 9 Who We Are; page 10 Checklist for applicants; page 13, section A Mission Statement; page 15, Budget Balance “proposed budget”. Robin: a budget sheet must balance; principles of accounting. Maybe liaisons should check who signs grant and is it authorizing agent. c) FY Grant Application – above Page 2 of 6  Motion: Barbara - with additional corrections grant guidelines and application be accepted.
