Amesbury Public Library Board of Trustees Meeting Minutes - July 2023 Amesbury Public Library Board of Trustees Location: Amesbury City Hall Auditorium By City Clerk at 8:31 am, Sep 14, 2023 Wednesday July 12, 2023 7:00 PM Board of Trustees (BOT) Members present: Jessica Ducrow, Anne Campbell, Laurie Cameron, Delia Rinaldi, Brenda Rich, Audrey Proctor, Bethany Sullivan, Pam Gilday, and Gail Browne APL Staff present: Aimie Westphal - APL Director 1. Call to order at 7:00 PM by Anne as chair. 2. Secretary’s minutes • Motion to approve April minutes with minor edits by Laurie, 2nd by Pam, unanimous. • Motion to approve June minutes with minor edits by Bethany, 2nd by Laurie, unanimous. 3. Communications • There was 1 email from Pam testing the email address for the Trustees –it’s fine. • Several Trustees have sent letters to the DPW Director, Mayor, and City Council regarding the back wall/door and its impact on the Friends of the Amesbury Public Library’s ability (inability) to operate their used bookstore at the Library. The DPW Director will meet with Aimie to discuss this matter. • Our elected delegation will tour the Library and discuss facilities issues on August 7. 4. Budget report Aimie presents the final FY2023 monthly APL budget with line items spent down to 0. Some discussion about the salary line item as an end of year transfer. 5. Facilities report Aimie presents her monthly Facilities Report to the Trustees for July 2023. This document is included in the addendum (Addendum 1). 7. Director’s report Aimie presents her monthly Library Director’s Report to the Trustees for July 2023. This document is included in the addendum (Addendum 2). 8. Sub-committee updates 1  Amesbury Public Library Board of Trustees Meeting Minutes - July 2023 • The Communications subcommittee met on July 10 and discussed ideas for Trustees page content. Jessica is working on the New Trustee onboarding document. The subcommittee’s meeting minutes should be posted on the City website. • The Facilities Master Plan Committee met on June 26. Aimie has created a Sharepoint folder for housing related documents, including previous feasibility reports. Want to get this project moving. The Committee’s meeting minutes should be posted on the City website. 9. Old business None. 10. New business • The Friends of the APL are making progress on regaining their MA state status as a 5013C non-profit. (They remain a 5013C at the federal level with a valid EIN number.) The Friends are awaiting a couple signatures from Beacon Hill and moving forward. • The Friends of the APL received a $15K donation and with that will be able to fund APL Programming this year, including the museum pass program which the City budget will not be contributing to in FY24. 11.
