Human Relations Committee Meeting Minutes Wednesday August 23, 2023 6:00 PM – 7:30 PM City Hall 301B ACCGov Staff in Attendance: Kelly Girtz- Mayor Dr. Remy Epps – Inclusion Officer Annesia Crew – Data & Policy Coordinator, Inclusion Office Joseph D'Angelo – Geospatial Information Office Molly Brooks- Inclusion Fellow HRC Members in attendance: Cameron Jay Harrelson Myung Cogan Danielle Gillmer Simone Moonsammy Sharon McDaniel-Miller Ed Moore Tucker Duval Brandon Baker Ke'Marcis Howard Megan Westbrook Alejanda Lopez Minutes Meeting called to order at 6:01 P.M. Committee chair Cameron Harrelson started the meeting thanking HRC members, Mayor Kelly Girtz, and Joseph D’Angelo for being present. The committee took time to time to welcome new member Simone Moonsammy. Cameron reminded the committee of the attendance requirements. Dr. Epps provided updates and upcoming important dates within the community. • FY23 financial reports ended in good standing with no outstanding invoices. • Informed HRC supplies can now be ordered thru the Inclusion Office. Suggested name tags, more fans, and items that brand the HRC. • Requested the work plan review and quarterly update be submitted by September 21, 2023, for review and submittal to the Mayor and Commissioners. • Informed HRC that the Inclusion Office is still working behind the scenes on the Inclusive Facilities project. Encouraged the HRC to communicate with the community to discuss what they would like to see at inclusive facilities. • Announced the upcoming Linnentown Lane Street Renaming Ribbon Cutting ceremony and encouraged members to participate. • Announced upcoming ACCGov events including the Sheriff Office Fall Festival, Downtown Parade of Lights, and participation in the 2024 MLK Day of Service. • Introduced Mayor Girtz and Joseph D’Angelo to discuss community input survey. Mayor Girtz discussed what good outreach is. He informed the HRC of the following things discussed at the previous M&C Meeting that falls under the HRC Scope: • Current Housing Crisis  • Employee Rights • Community Violence Prevention • CCSD Joint Focus • Digital Outreach Tools Joseph D’Angelo presented a PowerPoint presentation on digital tools for collecting community information. His presentation presented a two-phase operation: information gathering and internal crowdsourcing. He agreed to provide the HRC with a list of social media platforms PIO uses to reach communities. There was no old business to discuss. Dr Remy Epps provided an update from the June 2023 Debriefing Sessions. • Encouraged members to begin thinking about what was successful about the events, the challenges, faced, and what can be done better moving forward • Informed the HRC she plans to send out the recording of both sessions for review • Discussed the biggest challenge mentioned was the understanding of the RFP process and how the Inclusion Office will send out resources and information to assist with better understanding of the governmental process • Reminded the HRC they now will have to plan all upcoming events and provided the following important dates: o November 2023 decision must be made on RFP process o January 2024 Juneteenth plans must be in place and the RFP must be sent out o February 2024 Group selection begins, and details are to be set in stone. HRC committee appreciated the ACCGov support during the June 2023 events. Committee members also requested training sessions on RFP processes. Dr. Epps informed the HRC the Inclusion Office anticipates rolling out graphic form training sessions before March 2024. Dr. Epps explained how break-out sessions work for subcommittees and provided the HRC with information on the Open Meetings Act and Roberts Rule of Order. Cameron motioned to adjourn the meeting and subcommittee members entered into break-out sessions. Motion approved. Meeting adjourned at 7:15PM. Break-out sessions lasted 15 minutes.
