a BLUFFDALE - - ES l 1848 - - BLUFFDALE ARTS ADVISORY BOARD MEETING AGENDA Saturday, July 23, 2016 Notice is hereby given that the Bluffdale Arts Advisory Board will hold a meeting Saturday, July 23, 2016 at the Bluffdale City Hall Fire Station, 14175 South Redwood Road, Bluffdale, Utah, scheduled to begin promptly at 9:00 a.m. or as soon thereafter as possible. REGULAR BUSINESS MEETING 1. Roll Call 2. Review and approval of the May 21, 2016 Meeting Minutes 3. Consideration and vote on a new Board Member/Secretary, Malinda Severn (Angelle Anderson and Lyn n Farley wi ll be voting over the phone) 3. Discussion I Report Items: - the Band Festiva l - the Ad in Wasatch Savings - the Old West Days Parade/Float, Photo Booth - the Upcoming Play Assignments: Concession, Ti cket Sa les, House Manager - the 2016 Fall Show 4. TTY 7-1-1. Bluffdale Arts Advisory Board Meeting Minutes For Saturday, July 23, 2016 1. The meeting was called to order. In attendance were Laura Garner, Lori Howell, Lynn Farley, Diane Kelley, Marianne Dunn, Amanda Luker, Malinda Severn and Christopher Moore. 2. MOTION: The minutes from the May 21, 2016 meeting were approved unanimously with minor changes to items 5 and 10. Motioned by Laura and seconded by Lori. Diane Kelley will update and sign the minutes. 3. MOTION: Laura moved and Diane seconded the appointment of Malinda Severn as the Board's new Secretary. The motion was approved unanimously. 4. Following items were discussed/reported on : a. Band Festival- There were 168 in attendance and 4 bands performed . The free concessions were a big hit. Stage placement was great. Better advertising was suggested; 20 lawn signs were not enough and more banners were needed. b. Ad in Wasatch Savings- The board discussed options to include sales of Wasatch Savings books at different events including Town Days and Shows. They sell for $30 and we earn $15 for each book sold. An ad was placed in the upcoming book. c. Old West Days- i. Parade/Float: It was discussed what treat should be handed out during the parade; salt water taffy was not liked and otter pops were suggested. ii. Photo Booth: The photo booth will charge $14 for an 8x10. Lynn has the printer and shade tents will be borrowed from Laura . Time was spent discussing the set-up for Friday evening, the assignments to run Photo booth on Saturday and the need for additional photographers. Photographers will receive a receipt for a tax right-off. d. Upcoming Play- It was mentioned that the Fall Play should be moved to the week after Town Days. It was also suggested that some communication should take place between the church and the community to try to avoid scheduling conflicts. Many individuals want to support both organizations, but must choose when conflicts arise. Lori was asked to draft a letter sharing future dates with the stake. Also, the following assignments were made for the upcoming play: i. Tickets- Amanda ii. Concessions- Lori iii. House Manager- Lynn e. 2016 Fall Show- Into the Woods. Performance dates sometime in October. 5. New Business: a. City gave $15,000 for our budget b. Summit Academy may be building a stand-alone theater. This may be a possible location for rehearsals and performances. 6. Next meeting scheduled for Wednesday, September 21, 2016 at 8:00pm 7.
