BOARD OF CONTROL Meeting Minutes A Board of Control meeting was held Tuesday, July 27, 2021 at 9:00 AM in the Mayor’s Conference Room. Board President, Mayor Bernabei called the meeting to order at 9:00 AM. Director of Public Safety Andrea Perry and Director of Public Service John Highman were present. Board Secretary Katie Wise was also present. There were no visitors present. The following items were for review/approval by the Board of Control: 7/27/2021 - Minutes 1. Ordinance 14/2021 Enter into Change Order No. 1 & Final with Burgess & Niple, Inc. for a cost reduction in the amount of $37,585.59 for the design services on the Brentwood Interior Tank Painting Project, in order to close out the project, resulting in a new contract amount of $6,114.41 for the Water Department. Discussion: Per Katie Wise, Chris Miller from the Water Dept. explained that when work began on this project, it was discovered that the condition of the tank was not as bad as anticipated. Therefore, not much work had to be done at this time. They will look into doing more of an overhaul in a few years with a more extensive rehab project. Motion: Mayor Bernabei made a motion to approve the above referenced change order. Director Highman seconded. Vote: 3 yeas 0 nays Motion carried. 2. Ordinance 220/2020 Enter into Change Order No. 1 with Wenger Excavating, Inc. in the amount of $12,531.00 for the 12th St. NW Water Main Replacement Project due to additional pavement work, resulting in a new contract amount of $283,216.62. Ordinance 244/2020 Award and enter into a construction contract with Specialized Construction, Inc. in the amount of $85,137.60 for the 2021 Chip Seal Program, GP1352 for the Engineering Department. Discussion: Mayor Bernabei asked if this was the full extent of the Chip Seal Program for this year. Director Highman confirmed that this is it. The project will only cover two roads, Gibbs Ave. NE and Washington Blvd NW which runs through Waterworks Park. Motion: Mayor Bernabei made a motion to approve the above referenced contract. Director Highman seconded. Vote: 3 yeas 0 nays Motion carried. 4. Ordinance 244/2020 Enter into contract with JT Lawn Care, LLC for the mowing of City owned and/or controlled lots. This contract shall begin on the date of the Auditor’s certification of funds and be valid until March 31, 2022, with the option of two (2) one-year extensions if mutually agreed upon by both parties. Discussion: Per Director Perry, this is the addition of another mowing company to add to the rotation. Motion: Mayor Bernabei made a motion to approve the above referenced contract. Director Perry seconded. Vote: 3 yeas 0 nays Motion carried. 5. Ordinance 270/2018 Enter into Change Order No. 4 & Final with Northstar Asphalt, Inc. for a cost reduction in the amount of $103,402.99 for the 2019 Paving Program, GP1301, in order to close out the project, resulting in a new contract amount of $2,947,214.54.
