Call to Order Ms. Sutton called the meeting to order at 6:35pm. II. Review and Approval of Agenda The agenda was reviewed by the committee and a motion to approve the agenda was made by Ms. Chicquelo and second by Ms. Wolley. The agenda was approved as written. III. Reading and Approval of 12/14/2016 minutes The December minutes were reviewed by the committee. Ms. Chicquelo made a motion to update section III of the minutes to show discussion of additional proclamations. A motion to approve the minutes with revision to section III was made by Ms. Wolley and second by Ms. Chicquelo. All members were in favor. The December minutes were approved with revisions. IV. Publicity Report Ms. Quinones stated event information was submitted to NBC4, WUSA9, FOX5DC, the Washington Post, and the Prince Georges Sentinel. The event is also listed on Eventbrite, Twitter, Facebook, the Municipal Scene, the City’s weekly bulletin and will be posted on the City’s webpage next week. Ms. Sutton will post on the MLK event Facebook page to direct people to the City’s Facebook page for this year’s event. The updated event flyer will be posted around the city. V. Confirm Order of Events and Timing The order of events for the 2017 MLK program are as follows: 1. Mistress of Ceremonies 2. Talent Group for Children 3. Invocation 4. Chinese Bible Church of College Park 5. Proclamation 6. Friends Community School 7. Keynote Speaker 8. Brothers in Christ 9. Metropolitan Washington Baha’i Chorale (3 songs) 10. Essayist 11. SGI New Century Chorus 12. Closing Prayer If there is no response from Colours by 1/6/17, then the committee decided to remove the group from the program. VI. Walkthrough of Event Facility The committee paused the meeting to walk through the facility and identify rooms and seating for the performers, identify where displays will be presented and how the stage will be set for the event. VII. Other Business a. Proclamation - The committee reviewed the edited proclamation. A motion to approve the proclamation as written was made by Ms. Wolley and second by Mr. Dennis. b. 2018 event venue - Mr. Dennis stated the Clarice Smith is not taking any applications for 2018 until March 2017, so he has marked this on his calendar to follow up in March. c. Displays - NARA staff provided a sample packet of displays for the committee to review. The following displays were reviewed and approved by the committee for display: Dream deferred poem - ok Photo from I Have a Dream speech - ok Civil Rights act - ok Selma – remove route picture Voting rights – ok Resurrection City – ok Morgan segregation – ok President Clinton and President Obama– add more explanation The displays will be printed on poster size boards. d. School displays – Paint Branch, Hollywood, and Friends will have art displays at the event. VIII. Next Meeting Next meeting is tentatively scheduled for Thursday, February 16 or Wednesday, February 22, 2017. Mr. Dennis moved to adjourn the meeting and second by Ms. Wolley. Meeting adjourned at 8:15pm.
