NB: There was not a quorum present for this meeting.
I. Call to Order
The meeting was called to order at 7:20 p.m.
II. Reading of 10/17/19 Meeting Minutes
The Committee reviewed the meeting minutes from the October 17, 2019 meeting.
Ms. Sutton requested a clarification in the draft minutes. Without a quorum present,
the minutes could not be approved and were tabled until the December meeting.
III. Membership Recommendations
Councilmember Dennis has spoken to a representative from the University of
Maryland Community Engagement Department who would sit as a liaison.
Ms. Fletcher is corresponding with an UMD student to be a member of the Committee
(appears to be the same person). An update will be shared at the December meeting.
IV. 2020 event reviewed
a. The contract is being reviewed by the City Manager and may be signed on
Thursday to return to the Clarice.

b. Ms. Fletcher acknowledged that a rent credit from Park and Planning was applied
to the rental agreement.
c. Flyer: Would like to have “Save the Date” changed to “Come Celebrate” and add
verbiage “bring a non-perishable item as a donation.”
d. Ms. Wurtzel has found one person available to handle the Production Assistant
position. The cost is $18 per hour for off-site work and $23 per hour for on-site
work; eight hours of work is the estimation. This person will be responsible for
sound check, rehearsal, flow and order of program,
e. Discussed that the upper concession area is where the performers and volunteers
could eat lunch.
f. Mr. Lyons is confirmed as the videographer.
g. Committee members can have input on the Mayor’s proclamation and will be
further discussed at the December meeting. The proclamation may be approved a
the Mayor and Council worksession on January 7, 2020. Ms. Fletcher will
prepare a draft and distribute to the committee for review and comment.
h. Certificates will be handed out to participant. Panelists should receive a token of
appreciation. Ms. Fletcher and Ms. Chicquelo will research potential gifts and
costs.
i. Waiting on confirmation of a moderator and still waiting on names for three other
potential panelists.
j. Would like to get an invite and/or letter out to all students at UMD.
k. The theater has 207 seats.
Program
Each panelist will be given three minutes to speak on the theme. There will be about 15-
20 minutes for audience questions which the moderator will handle. Each performing
group will have eight minutes.
The meeting concluded at 8:10 p.m.
