Meeting Minutes – June 26, 2017 - 6:00 p.m.

Anne Parrott, The Public Health Foundation of Columbia County
Chip Gardes, Columbia City Celebration Committee
Meeting called to order at 6:00 pm
Topics:
Minutes approved from the July 25, 2016 Planning Group meeting. So moved by
Frank Hupp, Seconded by Anne Parrott, and approved unanimously.
Discussion took place regarding plans and coordination needed for the 2017
Prepare Fair. The following topics were discussed:
1. Chip Gardes briefed planning group members about logistics, scheduling of
events, and provided a draft copy of City Celebration promotional materials.
He also confirmed the date for the event as being set for Saturday
September 16, 2017 and that it would run from 8:00 am until 3:00 pm. The
Celebration Committee will provide 10’x20’ tenting and necessary power
needed for participants. Dan McGraw also offered the use of additional
tenting and power chords for the event, with Steve Pegram mentioning
CRF&R as a potential source for logistical support. Additional tables and
chairs will also be requested through City Hall staff.

2. Event theme discussions began with initial suggestions to be presented at
the next meeting.
3. Potential stakeholders and participants were identified and discussed by the
planning group. Anne Parrott offered to coordinate with Public Health/MRC,
St. Helens CERT, ARES, CCOM, Midway Veterinary Services, and the Red
Cross. Chief McGlothlin will coordinate with CRF&R, ODF, and Columbia
City Staff. Steve Pegram offered to coordinate with Oregon National Guard
Personnel, and Frank Hupp offered to coordinate with Veterans Affairs
personnel. Members to brief at next meeting.
4. Logistical issues pertinent to tenting, tables and chairs, electrical power,
raffle items, and the raffle process were also discussed.
During “Other Business” planning group members discussed recent community
outreach and educational efforts being conducted by Dyno Nobel. As well,
discussion took place in reaching out to Dyno Nobel regarding their participation
with this event.
Next meeting scheduled for Monday July 24, 2017 at 6:00 pm in Columbia City
Council Chambers.
