Welcome and Guest Introductions New members: (3 vacancies remain) Guests: Dee Saiz-Lamberson and Jacob Wilson Eddie presented appreciation resolution to Heidi and Brian for their service as officers to the board signed on January 10th at 6:16 PM by all board members. 2. Public Art Update Susan and Brian presented the recommendation for the public art piece for Villages East Park. Motion to approve the art piece motioned by Debra, second motion by David and all approved unanimously. New members are being recruited for the new public art committees this year. Daniela will send out the application and Heidi will post on social media. 3. Regular Business Items • Approve December Meeting Minutes Motion to approve by David Second motion by Debra Approved unanimously with suggested Edits • Financial Update Motion to approve by Heidi Second motion by Jaqueline Approved unanimously • Complete outside hours document & review 2016 Final hours document The final 2016 Volunteer hours was passed around for review. Heidi explained how this comes in handy when applying for grants and strategic planning. The total number of hours by volunteers in 2016 was 737.75. • Edits to Bylaws for Secretary position transfer to city staff Additional clarity for the secretary position will be added to the by-laws, then will move forward to get legal approval. Daniela will send Heidi latest review of bylaws then Heidi will send it out to the rest of the group. Daniela will also check on timeline for the treasurer role to be transferred to the City. Consideration of a marketing position will be put on hold. • City Council Annual Update Heidi will take a stab at making the presentation as well as presenting to City Council on February 6th. Some ideas of material to include in the presentation: sharing successes, volunteer hours, feedback for MitP, what neighboring cities are doing, Commerce City Page 1 Cultural Council Meeting Minutes January 10, 2017 request additional support for future (maybe for 2018) but also have specifics on how Cultural Council plans to use it (Derby Days). Sponsorships • Sponsor follow ups completed, results? Board members shared their progress Some questions that came from discussion: La Casa wants to sell burritos, would that conflict with food trucks? What about if they sponsor at Pioneer Park? If they sell than perhaps ask for a percentage of profits. • Next Steps If anyone secures sponsorships please email Eddie. 5. Budget/Grants - 2017 Planning • 2017 Budget for Approval Motion to approve with changes by Brian 2nd motion by Debra All approved unanimously • 2017 Grants Plan – amount to ask for QCF $3,000 MitP and $1,000 art shows SCFD $4,000 MitP & $1,000 art shows + GOS and public art if we get info from Deana 6.
