Call To Order/Roll Call Present 10 - Debra Bullock, Brian Connor, Crystal Elliott, David Soucie, Ed Hanson, Heidi McNeely, Jacob Wilson, Jadie Carson, Susan Carabajal, and Cathleen Teter Absent 2 - Brian Draxten, and Heather LaCrue 2. Welcome and Guest Introductions No new members 3. Regular Business Items Approve July Meeting Minutes Kristi motioned to approve July meeting minutes with the following edits: Under Music in the Park, make correction that the AME Church donated the blankets that were given out Change the Rapids Game date to August 19th 2nd motion: Heather Motion approved Financial Update Daniela will send out financial update via email for approval MitP chceck from city hasn't been cashed Total in MitP fundraising efforts: Total from foodtrucks $426 Chipotle $588.98 Individual donations $21 Additional in-kind donations for the raffle: $50 hair package Package to golf with councilman Steve Douglas King Soopers $25 gift card Family pack to Paradice Island $21 value Complete outside hours document 4. Committee Reports and Discussion Music in the Park Concert Series Debrief Lessons Learned Need to be more vigilant about trash left over after events Southlawn is not a city park, board members are responsible for clean-up Need to make sure that for 2018 bands are responsible for their own clean up The process of payment for bands and sound can be improved upon for next year. Have check ready before every concert The lawn at Southlawn park seems to be wet every year Commerce City Page 1 Cultural Council Meeting Minutes August 8, 2017 Reunion has been asked to not water the grass the day before It is difficult to put up signage at Southlawn park. Need to plan for a ladder for 2018 Local fire truck display at 7/27 Southlawn concert was a success Survey results were reviewed Thank you letters Ed presented a thank you letter to City Council and the Parks staff during the August 7th regular council meeting Ed will send out letters to our sponsors Heidi has sent thank you letter to food trucks Susan thanked each band personally 2018 Planning Reunion typically leaves key to the park bathroom and supplies are to pick up at their rec center All board members should have a to do list coordinate logistics and materials assign roles; who brings what Daniela will send out MitP to do list to members for edits Better coordination with bands in terms of when they take a break Ask bands if they’d be willing to do some announcement in between songs Do announcement of the drawing early earlier during the concert so that individuals won’t be rushing to turn them in on time Make announcements about future sponsorships and any new interested board members Look into how much portable restrooms cost Consider doing a beer garden; now that food trucks are legal we look into if there is a mobile bar Some signage is falling apart, might consider ordering some new banners Consider doing concerts at a different location like Turnberry and Fronterra Aug 10 Community Outreach Susan will not be able to go Ed, Jacob, Heather, Heidi and Debra will be present Kristi will be at CCBPA table Jadie has rocks and paintbrushes Daniela will bring giveaways, information cards, applications for public art committees, and new board member applications 8/19 Rapids Game Susan, Kristi, Heidi, Crystal, Jacob, David, Jadie will be attending Public Art wrap Daniela reached out to City but has yet to hear back Ed asked members to bring suggestions on locations Jadie suggests either around the civic center or the rec center Other suggestion is having it by the Conter center Daniela will email the Art Collective to accept the donation 5. New Business o Annual retreat planning The retreat will be on Oct 7th from 9-3 p.m. at the MSC building Topics of discussion Elections Commerce City Page 2 Cultural Council Meeting Minutes August 8, 2017 How to move forward in being an advisory board SCFD presentation Cultural Master Plan 2018 Budget Review MitP sponsorship materials Board members will send Daniela suggestions about food and additional agenda topics. Daniela will send out last year’s retreat agenda Heidi suggested doing a special planning meeting for 2018 MitP Daniela will send out a doodle Dunk Tank David's suggestion for outreach or concert David will find out price Unity Project Will be added as a topic for the retreat 6. Member Comments/Announcements Public art donation – life size dolphin will table for next meeting to consider costs transportation maintenance integrity CCHS invites you to attend the CASINO TRIP on Sunday, Sept 10th at 1p.m. Stop the bleed campaign If you would like to take a course to prepare yourself to assist injured people following a traumatic event, contact Cathleen Teter 7.
