Call To Order/Roll Call Meeting called to order at 6:08 p.m. Attendees: Jadie Carson, Steve Douglas, Bruce Emery, Aaron Franek, Brent Loomis, Justin Maillet Absent: Dana Bond, Ray Cordova, Andrew LaCrue, Bret Walker Staff Members Present: Carolyn Keith, Karen O'Donnell, Jodi Hardee, Amy Hendricks 2. Approval of Minutes A motion was made by Member Loomis to approve the November 15, 2016 minutes as submitted. The motion was seconded by Co-chair Maillet. The minutes were approved unanimously. This was approved 3. Unfinished Business 16-57 New & existing recreation centers (Facility Naming process and timeline) Attachments: PRESENTATION 10-18-16 Communication Specialist, Jodi Hardee briefly recapped the 3 phases of the naming process, the timeline and the plan to engage the community. This Administrative Business was continued 16-68 PRG Community Outreach Role Overview Ms. Hardee introduced the messaging campaign, "Hello my name is...". Facility naming submissions can be made via the City's website or at established drop box locations. Ms. Hardee reviewed the stakeholder matrix, which illustrates who/how the community at large will be engaged. The group discussed including outreach to local businesses, schools and various boards and commissions. There was discussion among the group about establishing eligibility requirements for the naming contest. The group also suggested that the winner(s) of the facility naming contest be awarded a grand prize and the runner-up be awarded a lesser Commerce City Page 1 Parks, Recreation, and Golf Meeting Minutes - Final December 13, 2016 Advisory Committee prize (i.e.: facility memberships for families and/or individuals, and party passes). This Administrative Business was continued 4 New Business 17-33 2017 PRG Advisory Committee Meeting Schedule The PRG Advisory Committee will continue to meet monthly at the Recreation Center with the first meeting on January 17, 2017. A schedule will be brought to the group at the next meeting for the upcoming year. This Administrative Business was continued 17-31 Committee Membership Update Member Ray Cordova has resigned from the Committee because of time commitments. Director Keith will notify the City Clerk of his resignation. There are four committee member vacancies, and the group discussed getting the word out about vacancy opportunities. This Administrative Business was continued 5 Committee Member Reports and Information Various committee members shared kudos about the various events they attended (i.e.: In the Wind Art Dedication, Holiday Lighting Ceremony, Mingle with Kringle and Winterfest). Director Keith will reach out to the Cultural Council to request getting a quarterly update about the "Art in the Park" project. There will be 3 pieces of art, and there is interest to tie the name to any potential art submissions. Karen O'Donnell will provide an update at the January 17th meeting. Member Carson asked if the team can get vandalism reports regarding park facilities. Ms. Hardee will check with the Police Department's Communication Specialist about campaigns to keep littering and vandalism down and will report back to the group. Several members complimented the appearance of the Winter/Spring 2017 Parks and Recreation Activity Guide.
