City of Dripping Springs Farmers Market Association Board Meeting Minutes Tuesday, July 12, 2016 at 10:00 AM City Hall, 511 Mercer Street, Dripping Springs, Texas I. CALL TO ORDER AND ROLL CALL COMMISSION: Marianne Simmons - Chair Gouri Johannsen - Vice Chair Aimee Mick Diana Black Teresa Strube Aubrey Munguia Claudia Oney Gary Gilstrap The Regular Meeting of the City of Dripping Springs Farmers Market Association Board was called to order at 10:05AM, Tuesday, July 12, 2016 by Marianne Simmons, Chair. Roll call was taken and members present included, Teresa Strube, Diana Black, Gouri Johannsen, Claudia Oney, Gary Gilstrap and Aimee Mick, acting as secretary. Aubrey Munguia was absent. Also present was Laurel Robertson, Market Manager. Market Managers: Laurel Robertson II. PRESENTATION BY CITIZENS Floor open to discussion on any subject. No action may be taken by law. Citizens wishing to speak shall do so after being recognized by the Chair. The Chair may establish a time limit on each citizen wishing to speak. There were no presentations by citizens. III. MINUTES A. Approval of Regular Meeting Minutes, June 14, 2016 A motion was made by Marianne Simmons and seconded by Teresa Strube to approve the Regular Meeting Minutes for June 14, 2016 as amended to include the comment that Marianne Simmons also volunteered to work at the City booth at the Ranch Park Rodeo. VOTE: 7-for, 0 -against, 1-absent. Motion passes. IV. REPORTS A. Farmers Market Manager's Monthly Report Report from the Market Manager to the Board regarding Farmers Market activities. B. Fiscal Year 2016 Budget Revenues and Expenses Monthly Report V. MARKET EVENTS PLANNING AND UPDATES Discussion and possible action regarding: A. Farmers Market Activities and Editorial Calendar B. Report on the Take Home Tips Demonstrations Discussion regarding different opportunities for future Take Home Tips Demonstrations. C. Report on the 2016 Tomato Round-Up The 2016 Tomato Round-Up was a huge success and very well attended. The total gross was $3,217.00. VI. MARKETING AND PUBLIC RELATIONS Discussion and possible action regarding: A. Marketing and Public Relations Committee Report There has not been a Marketing and Public Relations Committee meeting. Review of Proposals for Homeowners Association Newsletter and e-blast Advertising There are many opportunities for the Marketing and Public Relations Committee to discuss at their next meeting. C. Revised Farmers Market Vendor Survey The Farmers Market Vendor Survey will be distributed to all vendor associates by July 15th and is due back by July 31th. A face to face follow-up will also be done with vendors on the weeks of July 20th and July 27th. A final report will be due to the Farmers Market Board for the August meeting. VII. OTHER BUSINESS Discussion and possible action regarding: A. FY 2017 Budget Request A motion was made by Gary Gilstrap and seconded by Teresa Strube to approve the 2017 Budget with the changes made by Gouri Johannsen. VOTE: 7-for, 0 -against, 1-absent. Motion passes. B. Annual Appointment of Farmers Market Association Board Vice Chair and Secretary Aimee agrees to be secretary and a formal vote will be taken when we have all new members present. Board members were asked to volunteer for the open opportunities. A formal vote will be taken at the August board meeting. C. New Vendor Applications A motion to deny the vendor application from Sharp Fitness and refund the application fee was made by Theresa Strube and seconded by Gouri Johannsen. A sponsorship opportunity will be offered instead. VOTE: 7-for, 0 -against, 1-absent. Motion passes. D. Pending Vendor Inspections Pending vendor inspections were discussed and assignments were made. E. Special Event Participation Applications No Special Event Participation Applications to discuss. F. Removal of Vendors 1. Hair of the Dog 2. 3 B's Bakery A motion was made by Marianne Simmons and seconded by Theresa Strube to expel 3Bs Bakery from the Dripping Springs Farmers Market, based on a market violation. VOTE: 7-for, 0-against, 1- absent. Motion passes. VIII. ANNOUNCEMENTS A. Regular City Council Meeting, July 12, 2016 at 7:00pm B. Regular Parks and Recreation Commission Meeting, August 8, 2016 at 6:00pm C. Regular Farmers Market Association Board Meeting, August 9, 2016 at 10:00am IX. ADJOURN A motion was made by Theresa Strube and second by Marianne to adjourn the Regular Meeting of the City of Dripping Springs Farmers Market Association at 12:20 PM.
