Farmers Market Association Board Meeting Agenda

I. CALL TO ORDER AND ROLL CALL
COMMISSION:

The Regular Meeting of the City of Dripping Springs Farmers Market Association Board was
called to order at 10:15 AM, Tuesday August 9, 2016 by Marianne Simmons. Roll call was taken
and members present included, Gouri Johannsen - Chair, Marianne Simmons, Diana Black,
Claudia Oney, Teresa Strube and Aimee Mick serving as secretary. Gary Gilstrap and Charissa
Giles were absent.
II. PRESENTATION BY CITIZENS
Floor open to discussion on any subject. No action may be taken by law. Citizens wishing to
speak shall do so after being recognized by the Chair. The Chair may establish a time limit on
each citizen wishing to speak. – There were no presentations by citizens.
III. MINUTES
A. Approval of Regular Meeting Minutes, July 12, 2016 – A motion was made by Marianne
Simmons and seconded by Diana Black to approve the Regular meeting minutes from July 12,
2016. VOTE: 6-0 in favor, motion passes.
IV. REPORTS
A. Farmers Market Manager's Monthly Report
Report from the Market Manager to the Board regarding Farmers Market activities. – Laurel
will create two reports: one for City Council with required information, and one for the
Farmers Market Board with additional helpful information.
B. Fiscal Year 2016 Budget Revenues and Expenses Monthly Report – The revenues and
expenses budget document will be reviewed by Gouri Johannsen and discussed with Gina
Gillis, City Treasurer. For clarification, a recommendation will be made to separate the
Tomato Round-Up revenue and expenses.
V. MARKET EVENTS PLANNING AND UPDATES
Discussion and possible action regarding:
A. Farmers Market Activities and Editorial Calendar – Flyers are being distributed around town.
B. Report on the 2016 Tomato Round-Up – No action taken.
C. National Farmers Market Week August 7th - 13th, 2016 – No action taken.
VI. MARKETING AND PUBLIC RELATIONS SUBCOMMITTEE
Discussion and possible action regarding:
A. Marketing and Public Relations Committee Report – Marianne reported ten signs will go up
around town tomorrow (8/10/16). We are continuing to share take home tips with vendors
who are interested. Events: August 17th – Treats for Tots, August 31st – Vegetable Grilling
Tips, and September 14th – Pioneer Day.

B. Review of Proposals for Homeowners Association Newsletter and e-blast Advertising – We
have purchased space in the Belterra Newsletter to run in the next issue.
C. City Support of Market Social Media Needs – No action taken.
D. Farmers Market Vendor Survey Update – There were 15 responses to the survey. The
marketing committee will review the responses and make possible recommendations for
change based on the survey results.
E. Farmers Market Website Changes and Updates – Marianne Simmons, Teresa Strube, Gouri
Johannsen and Laurel Robertson will review the city Communications Coordinator job,
schedule a meeting with Michelle Fischer and Bonnie Gonzalez to review the functions, bring
the website up to date , and determine how future information will be transferred from the
Farmers Market Association Board to the Communications Coordinator.
VII. SPONSORSHIPS SUBCOMMITTEE
Discussion and possible action regarding:
A. Sponsorships Subcommittee Report – The sponsorship application is still not up on the
website. The sponsorship committee will work to target sponsors.
VIII. RULES AND REGULATIONS SUBCOMMITTEE
Discussion and possible action regarding:
A. Allowances for Vendors of Unique Foods – No action taken.
B. Animal Adoption Service Organizations – No action taken.
C. Rules About Co-Packing and Brokering Vendors – No action taken.
D. Gathering Sales Data for Grants – No action taken.
E. Rules Regarding Smoking, Parking and Trash, and Open Carry – No action taken.
F. Rules About Customers Bringing Goods to Barter with Vendors – This item will be discussed
at the September Board meeting. No action taken.
IX. OTHER BUSINESS
Discussion and possible action regarding:
A. New Vendor Applications
1. Big Brazos Sustainable Farm – No action taken.
2. Lavender Lane Farms – No action taken.
B. Annual Appointment of Farmers Market Association Board Vice Chair and Secretary – This
item will be discussed at the September meeting. No action taken.
C. Farmers Market Association Board Subcommittee Assignments - This item will be discussed
at the September meeting. No action taken.

XI. ADJOURN – A motion was made by Teresa Strube and seconded by Claudia Oney to adjourn
the meeting at 12:20pm. Vote: 6-0 in favor, motion passes.
