City of Dripping Springs Farmers Market Association Board Meeting Minutes Thursday, February 15, 2018 at 10:00 AM City Hall, 511 Mercer Street, Dripping Springs, Texas I. CALL TO ORDER AND ROLL CALL COMMISSION: Gouri Johannsen - Chair Claudia Oney Lori Broughton Marianne Simmons - Vice Chair Charissa Giles Vacant Teresa Strube - Secretary Vacant Market Manager: Laurel Robertson Chair Gouri Johannsen called the meeting to order at 10:08 and conducted roll call. Board members present: Gouri Johannsen, Marianne Simmons, Claudia Oney, Charissa Giles, Lori Broughton, and Teresa Strube. Market Manager Laurel Robertson was also present. II. PRESENTATION BY CITIZENS Floor open to discussion on any subject. No action may be taken by law. Citizens wishing to speak shall do so after being recognized by the Chair. The Chair may establish a time limit on each citizen wishing to speak. Brett Oldham, member of the community, attended meeting. III. MINUTES Discuss and consider approval of minutes of the regular meetings of the Farmers Market Board on December 14, 2017 and January 18, 2018; and Special Meetings of January 5 and January 12. Marianne moved to approve minutes for all above meetings, except for January 18 which were not included in documents; Claudia seconded; VOTE: all in favor, motion passed. IV. REPORTS A. Farmers Market Manager's Monthly Report - Laurel Robertson Laurel was appointed coordinator for Tomato Roundup. Discussed measuring market sales and customers. B. Fiscal Year 2018 Income Statement Monthly Report for month ending December 2017 and January 2018. Reviewed both income statements. No action. C. Parks and Community Services Report Reviewed report. V. MARKETING AND PUBLIC RELATIONS Discussion and possible action regarding: A. Marketing and Public Relations Committee Report - Marianne Simmons Discussion re: social media B. Healthy Parks Healthy People Event: scavenger hunt Scheduled for March 14 during Market VI. MARKET VENUE Discussion and possible action regarding: A. Streamlining the market layout process - Marianne Simmons, Gouri Johannsen Discussed issues B. TIRZ Board Meeting Report - Lori Broughton Tabled C. Update on Complaints/Incidents Form - Laurel Robertson VII. SPONSORSHIPS SUBCOMMITTEE Discussion and possible action regarding: A. Sponsorship Activity Tabled B. Locktite Storage request Discussion re: issues with request for more considerations, which were deemed outside of stated promotions that are available for sponsorship support. Laurel will inform Locktite. Teresa Strube left meeting. VIII. RULES AND REGULATIONS SUBCOMMITTEE Discussion and possible action regarding: A. Dripping Springs Farmers Market Rules and Regulations Revisions Update - Gouri Johannsen, Lori Broughton Marianne motioned that final version dated February 15, 2018 be approved including amendments provided by City staff and legal counsel; Claudia seconded; VOTE: all in favor, motion passed. B. Important Market Rules Revisions - Marianne Simmons Tabled IX. OTHER BUSINESS Consideration and possible action regarding: A. 2018 Vendor Orientation Social - Marianne Simmons, Gouri Johannsen March 21 after market B. Online payment of booth and application fees - Laurel Robertson, Gouri Johannsen Determined to be not viable at this time C. New Vendor Applications - Laurel Robertson 1.
