Founders Day Commission Meeting

City of Dripping Springs Founder’s Day Commission Monthly Meeting January 14, 2013 Attending: Brad Thomas, Jessica Freytag, Neil Fox, A.J. Bergeron, Stephanie Holtzendorf, Les Kubena, Evan Taddia, Ginger Faught. Absent: Brenda Medcalf, Sharon Goss, Mark Treadway, Steve Fornier, . Call to Order: 6:34 pm by Evan Taddia. Minutes: Motion made by Neil to approve the minutes from the December meeting. Les seconded. Minutes accepted as submitted. COMMITTEE UPDATES: A. Site Plan • Evan is getting a lot of calls regarding receipts for paid booths. • AJ is handling the Arts and Crafts booths as well as the Chamber booths. • Ginger will set up a meeting with the group from the Masonic Lodge to discuss Founders Day, set up, parking, etc. for them. B. Food • Booths are full but a lot of the vendors sell the same type of food. • Les needs the Founders Day log to forward to the Root Beer vendor. • Ginger is going to meet with the local ice vendor and see if they might be able to handle the ice sales at Founders Day. Ice could be stored at the Stephenson building. C. Entertainment • No definite line up yet – Brad is working out details. • Concern that it will conflict with whatever line up the new Mercer Street Dance Hall will have. • Brad will get in touch with the owners of the Dance hall to discuss. • Back pack store owner is wanting to have a private party. A meeting will need to be set up with him to discuss. • Steven Rector will do the sound for both stages this year. D. Arts & Crafts/Business Booths • Ginger met with Darrell Shoe from KDRP regarding Founders Day. They will purchase the booth they set up in and will be broadcasting from there. E. Parade : • Calls are continuing to come in wanting parade info. Founders Day Commission Monthly Meeting Page 2 F. Publicity: • Articles will go to the papers each month. • Stephanie will continue working to make sure the dates for Founders Day are listed in the local publications calendars. • Ginger will contact KEYE regarding the ‘My Hometown’ series to see if they will do that again for Founders Day. G. Sponsorship/Underwriting: • $7,000 received to date. H. Sanitation • Everything is on track. • Vequero will handle the recycling and put out the recycling containers., etc. I. Security • Gary Job Core be stationed the gates instead of Statewide Security. More Hays County Sheriff deputies will b used for security. J. Traffic/Parking : • City still has not been paid for the 25% of parking from last year’s FD. K. Volunteers • Goodwill should be contacted about volunteers. They helped out last year with the parade and with clean up and did a very good job. BUSINESS: A. Oath of Office • Jessica will come by the City offices one day so that Jo Ann can administers the oath of office. • City is going through a company called Tulip and each group may obtain insurance through the City with this company. • City is giving a stipend of 25% to offset the cost of the insurance. • City streets are covered but private property is not – the cook off club uses private property (the bank and judging headquarters) – will this be an additional cost? Ginger will look into this and get back with someone on the cook off club. • Steve made a motion to accept the Founders Day 2013 Form Participation contract with the changes marked on the copy. AJ seconded. Motion passed unanimously. B. Founders Day 2013 Contracts • Listing of outstanding contracts given to commissioners. • Need to get contracts turned in to the City as soon as possible. Founders Day Commission Monthly Meeting Page 3 C. Committee Assignments • Committee assignments remain as listed on the agenda except for Jessica is not on the Sponsorship committee. Next Meeting: • January 28, 2013.
