Founders Day Commission Meeting

City of Dripping Springs Founder’s Day Commission Monthly Meeting November 09, 2015 Attending: Brenda Medcalf, Stephanie Holtzendorf, Paul Sanchez, Brad Thomas, Mike Monaghan, DeNae Lee, Sharon Goss, EvanTaddia, DeNae Lee. Absent: Trent Edwards, Chris Nuccio, AJ Bergeron. I. Call to Order: 6:39 pm by Brenda Medcalf II. Presentation of Citizens: Representative from Locktite Storage, Dee, gave ideas of ways that Locktite could help with Founders Day this year. Sponsorship, helping with the parade, recycling were all discussed. It was decided the parade needs the most help. It was suggested that drivers must show up at the parade meeting. There their drivers license would be copied and then checked off when they arrive at the parade. This will help to make sure they come to the parade meeting to hear the rules, safety issues, etc. Mike has volunteered to be in charge of the drivers at the parade. III. Minutes: Minutes of the July 21/2015 meeting were read. Mike made a motion to accept the minutes from the meeting as read. Evan seconded. Minutes accepted. IV. Business A. 2015 Meeting Calendar  Will be the same as the schedule the commission voted on in July except there will be not meeting in December. B. Assignment and Discussion of Standing Committee  The following assignments were made:  Site: Mike, Brenda, AJ, Evan  Food: Chirs, Sharon  Entertainment: Brad  Arts & Crafts: Mike  Parade: Brenda, Stephanie  Publicity: DeNae  Sponsorship/Underwriting: Ginger, Sharon, Brenda, DeNae  Sanitation: Paul  Security: Brenda, Evan  Traffc/Parking: Evan  Volunteers: AJ 1 Founders Day Monthly Meeting 05/04/2015 C. Create 2016 Founders Day Festival Forms  Everyone will review their forms, make changes and send in to DeNae. D. Sponsorship Levels for 2016 Founders Day Festival Event  Brad made a motion to keep sponsorship levels the same as last year with the option to have a ‘title’ sponsor that will sponsor the whole event. E. 2016 Founders Day Festival Parade Theme  Evan made a motion to keep the parade theme the same as last years – ‘Destination Drippin’.  This will be tabled until next meeting. F. One Vacant At-Large Founders Day Commission Vacancy  One at large position available. G. Acceptance of the Dripping Springs Rotary Club Offer to Volunteer to Manage the Parking at the High School During Founders Day Festival Weekend.  The Rotary Club is in discussions with Enterprise Rent-a-Car to use 15 passenger vans to shuttle people from the high school parking lot to the Administration building. People would park at the high school and the Rotary Club would shuttle them to the event.  Permission will have to be given from the School Board to use the parking lot of the high school.  The Rotary Club will supply the man power if Enterprise agrees to supply the vans. H. Sponsorship In-Kind for Enterprise Rent-A-Car for the Use of Multiple 15 Passenger Vans During Founders Day Festival Weekend.  Paul made a motion to allow the Rotary Club to pursue the parking options for Founders Day and to grant an in-kind sponsorship to Enterprise Rent-A-Car for use of their vans. Brad seconded. Motion passed. I. Recommendation to Appoint DeNae Lee to the Founders Day Commission, Term to Expire June 2016  Motion by Paul to appoint DeNae to the Founders Day Commission. Sharon seconded. Motion passed. Standing Committee Reports A. Site Plan:  No report. B. Food:  Everything went smoothly. Had issues with one particular vendor. C.
