Founders Day Commission Meeting Minutes January 28, 2019 at 6:30 p.m. A Regular Meeting of the Founders Day Commission of Dripping Springs, Texas was held Monday, January 28, 2019 beginning at 6:30 p.m., in the Council Chambers located at City Hall, 511 Mercer Street, Dripping Springs, Texas. I. CALL TO ORDER AND ROLL CALL Commission Members present were: Brenda Medcalf, Chair Jake Adams, Vice Chair Stephanie Holtzendorf, Secretary Brian Daniel Sharon Goss Michael Monaghan Brad Thomas Darrel Debish Brian Varnell Commission Members absent were: Chris Nuccio Paul Sanchez City Staff/Appointed Officials present were: Mariana Espinoza, Parks & Community Services Director - Present With a quorum of the Commission present, Chair Medcalf called the meeting order at 6:30 p.m. II. MINUTES A. Discuss and Consider Approval of the Regular Meeting Minutes of December 10, 2018. No action was taken on this item. III. BUSINESS A. Discuss and consider approval of the stage location for the 2019 Founders Day Event Parking is not available next Hudson’s or at Spring Bluff, and there are no negotiations for parking at the DS Outfitters’ lot. The stage can be located in the street on Old Fitzhugh across from the parking lot; cookers and food vendors will not be able to use this as entrance as they have in pass years. There will be entry to the Stephenson Building from Old Fitzhugh Road to allow for Handicap Parking. Hard barricades will be needed on Old Fitzhugh behind the stage, which will face Mercer Street. A motion was made by Commissioner Thomas to approve the stage location for the 2019 Founders Day Event in the street on Old Fitzhugh Road. Commissioner Debish seconded the motion which carried unanimously 9 to 0. Founders Day Commission January 28, 2019 Regular Meeting Minutes Page 1 of 3 IV. STANDING COMMITTEE REPORTS The following updates relate to the administration of the 2019 Founders Day Festival. No action to be taken. A. Site Plan Michael Monaghan and Brenda Medcalf • Discussed in Business Item A. • Possibility to put a sponsor tent at Independence Title after their dinner on Friday night. B. Entertainment Brad Thomas • Brad will use a stage similar to the main stage for the second stage at Mercer and RR 12. • It will have to be put up quickly on Saturday and taken down quickly on Sunday. • Brad is working on the acts for both stages. • Church service will be held again this year. C. Arts & Crafts Michael Monaghan • Mike will speak with the Rural Home (business located in the Veranda) to determine if that space can be used D. Parade Brenda Medcalf and Stephanie Holtzendorf • Parade entry form is on the website; however, corrections need to be made. Brenda will get with Marianna. • Darrell measured the parade route from the flag pole to determine moveable barriers needed. Barriers cannot be put up at carnival and do not need to be put down San Marcos Street. They do need to be put on the sides where the parade starts at the administration building where the flagpole is located. . Publicity Bonnie Gonzalez • Need to get publicity out for sponsorship, parade and arts and crafts on the website and Facebook. • Will need carnival tickets for sponsors and Burke boys. • Marianna will check for possibility of getting a banner up at the triangle letting everyone know Founders Day is accepting sponsors. • Jake will get the banner. Sponsorship and Underwriting Founders Day Commission January 28, 2019 Regular Meeting Minutes Page 2 of 3 Mariana Espinoza, Sharon Goss, Brenda Medcalf, Brian Daniel and Jake Adams • All commissioners need to work on getting sponsors. • Dodge cannot set up in the parking lot next to Hudson’s so perhaps an alternative is next to each stage. • Sponsor tents need to be maned to keep the area clean and inviting for those to come in to the tent. • Sponsorship banners can be put on moveable barriers during parade and when used for sponsor tents. G. Sanitation Paul Sanchez and Brian Daniel • No report. H. Security Darrell Debish and Brenda Medcalf • No one will be able to come in on Bluff. • Need security officer stationed at Old Fitzhugh rather than Gary Job Corp person. • Food from cook-off entries needs to go to the area for those from Gary Job Corp. • Burke boys will be helping to install orange fencing again. • Roman is working to set up the security meeting. I. Traffic and Parking Darrell Debish and Brenda Medcalf • Brenda has 3 constables, outside of security for Founders Day, that are strictly for the parade. • Tape/rope will need to be put along RR12 from Mercer to Founders Park. J. Volunteers – no report given V. UPCOMING MEETINGS A. ADJOURN A motion was made by Commissioner Thomas to adjourn the meeting. Commissioner Daniel seconded the motion which carried unanimously.
