Founders Day Commission Meeting Minutes June 10, 2019 at 6:30 p.m. A Regular Meeting of the Founders Day Commission of Dripping Springs, Texas was held Monday, June 10, 2019 beginning at 6:30 p.m., in the Council Chambers located at City Hall, 511 Mercer Street, Dripping Springs, Texas. I. CALL TO ORDER AND ROLL CALL Commission Members present were: Brenda Medcalf, Chair Jake Adams, Vice Chair Stephanie Holtzendorf, Secretary Darrell Debish Brian Daniel Sharon Goss Michael Monaghan Paul Sanchez Brad Thomas Brian Varnell Commission Members absent were: Chris Nuccio City Staff/Appointed Officials present were: Mariana Espinoza, Parks & Community Services Director With a quorum of the Commission present, Chair Medcalf called the meeting to order at 6:34 p.m. II. MINUTES A. Discuss and consider approval of the April 8, 2019 Founders Day Commission meeting minutes. A motion was made by Commissioner Debish to approve the April 8, 2019 Founders Day Commission meeting minutes. Commissioner Thomas seconded the motion which carried unanimously. III. BUSINESS A. Discuss and consider approval of the 2019-2020 Fiscal Year Budget Request for the Founders Day Commission. • Discussion on Budget: some changes to amounts as invoices are outstanding. • Would like a print out or digital copy from the City of the General Ledger to review line item amounts. • We will no longer have space at Locktite. Founders Day Commission June 10, 2019 Regular Meeting Minutes Page 1 of 3 • Next meeting, discuss and vote on items the commission would like to purchase with the overage. • Raise parade entry fee next year to $50. • Earmark a number of spaces for sponsors and those who lead parade, leaving remaining spaces for businesses and youth groups. • $3,500 paid for video – was it included in Publicity A motion was made by Vice Chair Adams to submit the budget as a draft, and to determine Fiscal Year 2020 expenses once line item expenses for Fiscal Year 2019 have been reviewed. Commission Thomas seconded the motion which carried unanimously. IV. STANDING COMMITTEE REPORTS The following updates relate to the administration of the 2016 Founders Day Festival. No action to be taken. A. Site Plan Committee Michael Monaghan and Brenda Medcalf • Need to get contract on parking area for bands early so planning is not delayed. B. Entertainment Committee Brad Thomas • Discussion on bringing in larger name band. • Would have to have a large sponsorship. • Larger crowds than in the past will require more security, more tables, chairs and a larger space than parking lot of DSO. C. Food Committee • No report. D. Arts & Crafts Committee Michael Monaghan • No report. E. Parade Committee Brenda Medcalf and Stephanie Holtzendorf • No report. F. Traffic & Parking Committee Brenda Medcalf and Darrell Debish • Need barricades on Old Fitzhugh • Remember to get barricades from the County. V. UPCOMING MEETINGS A.
