Founders Day Commission Regular Meeting Minutes February 10, 2020 at 6:30 p.m. A Regular Meeting of the Founders Day Commission of Dripping Springs, Texas was held Monday, February 10, 2020 beginning at 6:30 p.m., in the Council Chambers located at City Hall, 511 Mercer Street, Dripping Springs, Texas. I. CALL TO ORDER AND ROLL CALL Commission Members present were: Brenda Medcalf, Chair Martin Garza Sharon Goss Clinton Holtzendorf Michael Monaghan Brian Varnell Susan Warwick Dee Marsh Jeff Shindler Commission Members absent were: Jake Adams, Vice Chair Brian Daniel Darrell Debish Brad Thomas City Staff/Appointed Officials present were: Maggie Martin, Events & Programs Specialist Lisa Sullivan, Communications Coordinator With a quorum of the Commission present, Chair Medcalf called the meeting to order at 6:34 p.m. II. MINUTES A. Discuss and consider approval of the January 27, 2020 Founders Day Commission Regular Meeting Minutes. A motion was made by Commissioner Marsh to approve the January 27, 2020 Founders Day Commission Regular Meeting Minutes. Commissioner Varnell seconded the motion which carried unanimously 8 to 0. III. BUSINESS A. Discuss and consider approval of a Leave of Absence for Commission Member Jake Adams for December 2019 - June 2020. Founder Day Commission February 10, 2020 Regular Meeting Minutes Page 1 of 4  A motion was made by Commissioner Garza to approve a Leave of Absence for Commission Member Jake Adams for December 2019 - June 2020. Commissioner Warwick seconded the motion which carried unanimously 8 to 0. B. Discuss and consider the Appointment of an Interim Vice Chair for the Founders Day Commission to serve through June 2020. A motion was made by Commissioner Garza to appoint Commissioner Darrell Debish to serve as Interim Vice Chair for the Founders Day Commission through June, 2020. Commissioner Holtzendorf seconded the motion which carried unanimously 8 to 0. IV. STANDING COMMITTEE REPORTS The following updates relate to the administration of the 2016 Founders Day Festival. No action to be taken. A. Site Plan Committee Michael Monaghan and Brenda Medcalf • Site plan is being worked on. B. Entertainment Committee Brad Thomas and Brian Daniel • Contracts are being worked on. C. Carnival & Food Committee Sharon Goss and Susan Warwick • Food vendor spots are filled. D. Arts & Crafts Committee Michael Monaghan • Half of the Arts and Crafts booths are filled. • No alcohol samples will be allowed in the booths. E. Parade Committee Brenda Medcalf and Clint Holtzendorf • Parade Applications will be available on March 3. F. Publicity Committee Brenda Medcalf, Jake Adams, Clint Holtzendorf, Brian Daniel, and Maggie Martin and Lisa Sullivan • Information about sponsorships, arts and crafts booths, and parade theme, rules and applications will continue to be posted on Facebook and city website. Payment to them will increase from $3500 to $3750. H. Sponsorship & Underwriting Committee Jake Adams, Darrell Debish, Brian Daniel, Dee Marsh and Maggie Martin • Work continues on obtaining sponsorships. I. Security Committee Brenda Medcalf and Darrell Debish • Security Committee meeting will be held on March 1. J. Volunteer Committee Maggie Martin No report. K. Traffic & Parking Committee Brenda Medcalf and Darrell Debish • Uber, Lyft and shuttle drop-offs will be on Old Fitzhugh Rd. Rotary Club will provide shuttle services on Saturday of the festival and will coordinate shuttle service for the festival. • Handicapped parking will be at DSISD. • Gymnastics and Dance groups will be approached about helping with the shuttles.
