COMMUNITY RELATIONS COMMISION Regular Meeting AUGUST 1, 2016 Civic Center Members Present: Melissa Meechan, Mark Marquez, Lynn Love, Harelda Anderson and Alicia Middleton Members Absent: Cathryn Abeyta, Charles Kromer and David John Staff Present: Julie Baird, Ass’t City Manager and Joanna Oliver, Secretary Guest Present: None CALL TO ORDER Melissa Meechan called the meeting to order at 4:08 pm with a quorum of members present; the following procedures were duly had and taken. APPROVAL OF MINUTES Lynn Love made a motion to approve the July 11, 2016 minutes. Mark Marquez seconded. Motion passed. STRATEGIC PLANNING RESULTS OVERVIEW Melissa Meechan gave an overview of the meeting they held in July. They came to a consensus for a plan for the FY17 since the Commission has changed since it was first started in 2008 to help refocus and revitalize this Commission. They decided the message would be Unity through Civility. They identified two areas of focus – Promotion of Equality and Culture in the Community – Outreach and Education. She discussed the various areas that were implemented in the draft of the FY17 plan at this meeting. COMMITTEE REPORTS  Allen Theater Ads – Take our ten traits and focus on one trait per month changing the ad every 3 months featuring 3 traits. Shana Reeves suggesting was to do 2 minute clips talking about that trait. For example having the kindness trait first and partnering with Peach Neet Feet to promote the Kindness trait.  Commissioners Activity - She would like to include a Roundtable section to the agenda regarding activities that Commissioners have been involved in outside the meetings. She asked that each Commissioner pick three traits and bring back ideas to promote them and an organization that we could partner with for our ads.  Customer Service Training – Melissa will call Tonya at the Convention Visitors Bureau regarding their Customer Service Training Program to see if the Commissioner could promote the Civility First within their training. OLD COMMISSION BUSINESS  Fundraising – Rob Mayes stated that he was not comfortable with the Commission doing the “traditional fundraising” so to speak but instead get co-sponsors to help with putting together events and promotions.  Civility Workshop Training – It would cost approximately $3,000 to host. After a short discussion, it was decided that they would table this until next fiscal year. NEW COMMISSION BUSINESS  Lynn Love presented a fundraiser that was being held by The Arc. This fundraiser will celebrate diversity and success of differently-abled individuals. After a short discussion, Lynn made a motion to sponsor this event at the bronze level for $300. Harelda seconded it. Motion passed.  Joanna Oliver stated that Michelle Bates was appointed by the Mayor as the new Commissioner to fill Beth Volkerding’s expired term.
