Meeting called to order at 5:19 p.m. In attendance: Vice Chair Roberson, Director Hoffman, and Secretary Braman. 2. Approval of Agenda: Vice Chair Roberson motioned to put the Public Session before Old Business in future Agendas. Secretary Braman seconded. Passed unanimously. Vice Chair Roberson motioned to have the Closed Session before the Director’s report in future Agendas. Seconded by Secretary Braman. Passed unanimously. 3. OLD BUSINESS A. Acceptance of the Minutes Vice Chair Roberson motioned to accept the October 8, 2019 minutes. Secretary Braman seconded. Passed unanimously. 4. Public Session Public comment opened at 5:40 p.m. No one present for Public Comment. 5. Closed Session Going In: 5:45 p.m. Upon a motion made by Electoral Board member Rob Roberson, seconded by Electoral Board member Braman, the Electoral Board went into Closed Session pursuant to Section 2.2-3711 (A)(1) of the Code of Virginia for approval of new Officers of Election.  Upon a motion made by Electoral Board member Roberson and seconded by Electoral Board member Braman, the Electoral Board reconvened to Open Session. Coming Out: 6:00 p.m. Certification Upon a motion by Electoral Board member Roberson and seconded by Electoral Board member Braman it was certified that(i) only public business matters lawfully exempted from open meeting requirement and only such public business matters a were identified in the motion by which the closed session was convened, were heard, discussed or considered in the closed session by the Electoral Board. Roll Call Vote: Vice Chair: _____________________ Secretary: _____________________ New Officers of Election: Chelsy Gordon and Marwan Dada. 6. NEW BUSINESS A. DIRECTOR’S REPORT Attached. Vice Chair Roberson motioned to accept the Director’s Report, Secretary Braman seconded. Passed unanimously. 1. New web name will be Fredvotes.gov. 2. Express Votes won’t be here until after June because of the programming required by the Department of Elections. 3. A letter should go out to all City Officials etc. re redistricting. ACTION ITEM: Marc will draft a letter to Officials regarding Redistricting. 4. March 3: Republican Party will have a Caucus only. 5. All election information is on website with a PDF to be printed. B. Maps: Vice Chair Roberson made a motion to accept the maps of the Precincts for the 2020 Elections with one exception – the green space at 301. Secretary Braman seconded. Unanimous. C. ACTION ITEM: Vice Chair Roberson will draft a letter to the Party Chairs inviting them to the January Electoral Board meeting for the intention of preparing for successful 2020 Elections. The letter will be signed by all three Electoral Page 3. Board members. Vice Chair Roberson will contact Susan Tyler. Secretary Braman will send an email to Karen Hedelt. D. Officers of Election for the March, May and June Elections were Discussed and Director Hoffman will call those who have not responded. NEXT MEETING: JANUARY 10, 2019 1 P.M. L & A TESTING 9 A.M.
