Official Minutes – Fourth of July Committee Meeting

The Meeting was called to order at 6:33 pm and began with the Pledge of Allegiance and introductions.
Budget
Shawn passed around a budget and talked about how we need booklet sales to provide money for the budget.
Booklet Sales
Jenna passed out a list of businesses we have already or will be contacting, and she asked everyone present if
they know of any other Glendale-area businesses that should be on this list. Speedway Gas Station was
mentioned, and Robin said they need to go through corporate. Robin suggested George’s Barber Shop. Bobbie
suggested Nearly New Fashions. Jenna will contact both. If people have other ideas, they should please send
those names to Jenna and let her know if they plan to contact the business or if they’d like her to.
All committee members are welcome to fundraise for donations, ads, sponsorships, etc., but we want to be sure
that businesses are not contacted by several different people who don’t know that others contacted that business.
Therefore, everyone should please let Jenna and Shawn know the business name and what you’d like to ask
from them before you contact them. Jenna will respond as quickly as possible to these emails. That way, if a
different committee member is already soliciting that business for something else, we can have that committee
member ask for both things or at least have a coordinated approach.
Booklet Distribution
Jenna asked if Marty needed new maps. Marty said it would help if we could get numbers from the city about
how many households are in each neighborhood, because now they just estimate and some neighborhoods are
shorted. Shawn said that if Marty can give him the maps, Shawn can get someone in the city to get these
numbers. There was talk about whether we need new maps. Eric thought the maps were fine; we just needed the
quantities of households on the map. A couple of our members say they regularly don’t get one. It was
suggested that the whole committee look at the map and make sure there are no missing streets/neighborhoods.
We talked about how the scouts used to get paid for distributing the booklets. Jenna proposed that we see how
the budget is in May and decide then whether we are able to pay the scouts.
T-Shirts
Mary Lynn polled people to see whether they want t-shirts or polos. We talked about how many shirts to get
(and a bit about how much volunteer time warrants getting a shirt). Jill mentioned that people working the day
of need a shirt more than setup people in order to be visible. We ordered 30 last year, and we think we’ll need
more this year. Mary Lynn is going to try for 50 this year. We discussed whether it could be a color that stands
out (last time red, white and blue tie-dye was suggested, but this is expensive and we might have trouble getting
them donated). MaryLynn will ask about a neon blue or some other color that will stand out.
Children’s Parade
Robin reported that in soliciting donations for goodie bags she went to Dr. Dawg, Dickies, Jimmy John’s
(waiting to hear from all 3) and Dairy State foods (giving us 300 boxes of cookies).

Parade
Jill reported that we have many acts for the parade lined up including bands and horses. Jenna suggested that Jill
see if the horse acts could provide their own poop clean-up. They are looking into costumes (McGruff the crime
dog and the DARE lion). There are several acts from whom Jill is waiting to hear and a few she’s having
trouble getting a hold of. Jenna asked Shawn if he has any lists from previous years with acts we don’t have on
our current list. Shawn will check. Jenna noted that MaryJo wished she could solicit media people in the parade,
so that may be another focus. Marty said that he is trying to get the Shorewest fire engine, that the Jr. Knights
softball team would like to be in the parade, and we should get some star athletes from Nicolet (maybe they
could make a float). Jill will follow up with these and other leads committee members provided.
Parade Officials and Vehicles
Mary Lynn reported that she’s working on officials and that it’s too early for getting vehicles.
Music Acts and Stages:
Bobbie reported that Trinny has a lead on someone to run sound for the 2nd stage. Trinny is waiting to see how
our booklet sales are going to be before booking the sound guy. Jenna said that we are doing fine on sales and
that Trinny can go ahead and book the sound system and person as long as it’s within our established budget. If
the sound system/person is outside of our established budget, she should talk with Shawn.
Grounds:
Eric had nothing to report and was reminded that he and Glennn should put together a wish list to give to Home
Depot for possible donation. Marty asked if we would want the scout trailer again and Jenna said yes.
Kids Games and Activities:
Jenna reported that in Brookfield they have the fire department raise the big ladder of their ladder truck and
spray water from way up high – kids can be under this huge shower and it’s a fantastic way to end the kids
games and activities portion of the day. She would like to do this in Glendale as a finale at 3:00 or 3:30 pm (to
get people to stay until then). She’ll work with the Stage Committee on what the best time would be. The fire
dept. would do this over the road (not the grass, where people will sit for fireworks). The North Shore Fire
Department is open to trying this. There was some discussion about whether we should do this before the talent
show (and have wet kids in the talent show). It was decided by consensus that we have the fire department do
the big shower at 3:30 (or whenever the games end).
We discussed whether to change the ending time of games/activities earlier. It was decided that we’d
keep it at 3:30.
We still need a face painter and someone to run the bean-bag tournament. Mary Lynn will ask the
people from The Brick about the bean-bag tournament (since she knows them and they are into bean-bag toss).
Food Vendors
Bethanie asked in absentia what the deadline is for food vendor forms. Shawn said he’s not sure, but the
date is on the contract, and he thinks it’s May 15th. Marty said the Scouts will do the corn roast and sell beef
sticks again.
Fireworks
Shawn is trying to get a booklet of possible ground displays.
Next Meeting
It’s scheduled for Wednesday, April 12th at 6:30 at City Hall. Marty said that this will not be a problem
regarding Passover.
The meeting was adjourned at 7:58 pm.

The Meeting was called to order at 6:30 pm and began with the Pledge of Allegiance.
Membership
Trinny talked about the requirement of attendance at a certain number of meetings before new
committee members are officially voted onto the committee. The rationale for this is that it’s hard to have
quorum (required for votes) when there are a lot of people officially on the committee who don’t show up.
Bethanie moved that on the third meeting the person attends, they can be officially made a member. There was
a question about whether it was necessary to make this an official policy, and it was explained that this makes
sure it’s equal for everyone (as opposed to having friends of members accepted sooner, etc). Shawn amended
the motion to be a recommendation for the mayor to appoint a member, rather than we as a committee (who
may not be empowered to put people on the committee). Motion passed.
Trinny then said that Liisa Church, Robin Benedon and Stacie Bishop should be sent to the mayor for
addition to the committee.
Food Vendors
Bethanie reported that Chippies is in (and excited). The Rolling Cones is in but would like the option of
only doing part of the afternoon because they’re still working on their volume. Shawn suggested that if we let
people leave early, they must be out by 5:00 pm so as to avoid interfering with the nighttime band. Jet’s Pizza is
also very interested. Sprecher is in too. Bethanie has not had contact with Yum Yum or WI Cheese Curds or the
Flowering Onion. Mary Lynn suggested that with pizza, we can’t have people waiting (like while a pizza
cooks). Hopefully they will sell pizza by the slice. Bethanie will ask Jet’s for a commitment by next meeting.
The Brick will do an ad. Having them and Sprecher as vendors would be redundant and too much. Trinny
suggested that we wait to see if Jet’s is in and avoid committing to too many vendors.
Volunteers
Bethanie said that not much has happened yet; it’s a little too soon now to sign people up. She wants to
get interested people together to offer incentives to volunteers. Chrystal will not be here for 4th of July this year.
Booklet Sales
Omar (who volunteered last time to lead booklet sales) is not here and has not been in contact with any
of us. He is traveling out of the country. Shawn reported that we will try to keep the same sponsorship levels
(costs) as last year, $250 for quarter page, $450 for half page, $800 for full page and $1000 for the back. Trinny
asked everyone to share leads if we have any; send them to Jenna or Shawn. We have not sent out letters yet to
verify that previous sponsors want to sponsor again. Trinny will reach out to the ones she’s been in contact
with.
T-Shirts
Mary Lynn reported that last year committee members could purchase a polo shirt and Burkhardt’s
donated 20 free T-shirts, many of which were donated to volunteers. The “Burkhardt’s” logo was on the back
rather than the sleeve and much bigger than we expected. Jill mentioned that volunteers (especially in more
public settings like the bouncy houses) need the same shirt that is very distinctive (not red, white and blue) so
we are easily identifiable. Stacey Steele suggested red, white and blue tie-dye shirts. Trinny wants it to look
nice. Ann wants to see a picture of it. Robin will check with a guy she knows. Mary Lynn will ask her friend
who did polos last year. We decided to table this until we have more info.
Children’s Parade
Ann said she will ask Marty Hersh if he wants to sponsor goody bags again. She will try to get ice cream
donated. Are we willing to buy something, like pinwheels, for the goody bags? Trinny said she would ask Brass
Bell if they might do egg shakers or kazoos or something. Trinny still wants to help with bike-decorating
competition.
Parade
Jill reported that emails were sent out to all the non-govt groups who participated last year. All
responses so far were “yes” or “we’ll check into it.” She needs contact info for Erik Kukulis (Boy Scouts) and
Glendale Little League.
Parade Officials and Vehicles
Mary Lynn had nothing to report as of now.
Daytime Activities
Trinny wants to make sure we have someone to do what Chrystal did before we commit to a second
stage. Stacey Steele said that she would do Emceeing. Do we want a music stage just for music (same as night-
time band stage) and then keep the other stage the community stage and not have any music on that stage? If we
have a music-only stage, do we want a daytime band (rather than multiple smaller acts)? We would really like a
free DJ (like Chrystal). If we don’t have someone, we don’t have it in the budget to have a sound engineer. We
can supply a small PA system for talking, background music. We need to investigate this further. Trinny will try
to report back next month when we know more about sound.
Talent Show
Trinny is hoping for more help with this now that Chrystal is not going to be involved.
Grounds
Shawn asked if 13 port-a-johns were enough (we had 10 last year). Eric said we would still like to
upgrade at least one park breaker box. Tom said we can submit a wish list (action plan) to Home Depot.
Kid games and activities
Shawn shared a pamphlet from “Kid Again” with lots of inflatables, zip lines, mechanical bulls, etc. we
will share this with Jenna.
Parking
Lt. Hinman suggested that we send an email to him if we have concerns. Glenn has a nice sign for lawn
parking.
Fireworks
Shawn did not get a hold of the fireworks people. Glenn was very happy with the smiley face and wants
a rainbow this year. Shawn suggested that the ground displays may need to be raised a little so that they can be
seen better.
Next Meeting
Not everyone responded to the survey about when they’re available next month. We are keeping with
Wednesday, March 8th at 6:30pm here at City Hall. {Subsequently moved to Wednesday, March 15th at 6:30.}
Meeting was adjourned at 7:45pm.
