`` April 12, 2017 City of Glendale Official Minutes – Fourth of July Committee Meeting Present: Mary Lynn Cinealis Stacie Steele Eric Zentner Trinny Schumann Bobbie Hughes Jenna Kunde Shawn Lanser Bethanie Gist Paul Stelzel (Fireworks Representative) The Meeting was called to order at 6:33 pm and began with the Pledge of Allegiance and introductions. Fireworks Paul Stelzel reported that we need to figure out if we’re keeping Glen Franklin. He is $385. Any ground display that is the same size will cost the same. 5’ X 10’ = $185. Traditionally, for ground effects, we’ve done the Flag and Glen Franklin. We can do liberty bells, eagles, pinwheels, fire trucks, etc. Bethanie suggested we have one to honor Glendale Fire and Rescue. We could do the word “Glendale.” The lettering is 2 feet high. We should let them know mid to late May at the latest. The committee agreed by consensus that we should change from Glen Franklin to something else. Jenna will send out a one-question survey about which new ground display we will switch to. Stages Trinny reported that she hasn’t booked anything because we are way over booked on stages right now. We have Total Control, who had hoped to get $500 but would probably play for free. Blue Heron is an acoustic group and is free. They would be during a transition (while electric bands change equipment). Orange Whips has been suggested as a daytime band b/c they play for three hours (rather than switching bands often). We decided that we like the variety of having more short acts rather than fewer long acts, so no Orange Whips. The sound technician is $350. The nighttime band starts at 5 or 5:30. We are calling the stages “North” and “South” now because there’s music at both and community events at both, so it was confusing. Infinite Gymnastics is in, and Girtons told Jenna they were interested but Trinny hasn’t heard from them yet. FEAR hasn’t responded to Trinny yet so she asked Jenna to reach out to them. Magic Rivers is the high-school band and Trinny suggests staying with them. We decided to do this, partially because this is their last year. We also decided to advertise in the program for another high-school band for future years. Trinny talked about how our decision about what goes on which stage needs to be largely influenced by sound technicians. We need the professional sound technician to also run the sound for the talent show. Stacie said her neighbor is a sound person. Trinny said we need to get him committed by Friday or we need to move forward. Jenna asked Trinny to ask the professional sound person to add speakers just outside the tent so acts can be heard outside the tent. Trinny wants Jenna to find out how the parade budget is doing (because we could use some of that money for the stage budget if there’s extra money in the parade budget). Shawn suggested that the African drumming act could possibly be in the parade rather than a stage act. Bethanie suggested a quick sing-along while the judges of the talent show are tabulating their votes. Daytime Activities Jenna brought up “The Big Splash” and what time we should do it so as not to soak the talent show participants right before the talent show. Trinny suggested moving the talent show earlier, but there was discussion that this could make people leave early. Bethanie suggested that we could do the Big Splash earlier so kids have time to dry off. Booklet Sales Jenna said that it is unlikely that we will get the $1500 from Mueller Communications and we had met our budget aside from that. `` T-Shirts MaryLynn said that Burkharts said no to more shirts. Now we need to choose colors for volunteer shirts. We decided on neon blue. There was discussion of whether the committee should pay for the committee shirts personally or if the committee shirts should be paid for with donated committee funds. Shawn moved that we allocate up to $25 per committee member who has attended at least 3 committee meetings by the end of May for polo shirts (or reimbursement for those who purchased a shirt last year) for committee members. Jenna seconded. Motion carried. Children’s Parade MaryLynn has tattoos from Pet U to go in the goodie bags. Parade Officials and Vehicles Bryan is coordinating the officials. MaryLynn said it’s still a bit early for vehicles. Grounds: Eric reported that he and Glennn went to Home Depot to look for supplies that we would ask for from Home Depot to upgrade electrical service at the park, but they didn’t have the big waterproof enclosure. MaryLynn asked Eric to provide more info about this because Tom (her husband) might be able to ask his contacts about getting something like this. Shawn reported that we have porta potties and a plan for a regular garbage dumpster and a smaller recycling dumpster. He will work on getting recycling bins. Shawn asked if we would be keeping the layout the same, and several people expressed a strong opinion that we should keep the layout the same. Shawn asked because the Cave (which is new) needs a spot. Bethanie suggested placing the cave as a barrier to keep people from walking across the softball field. Kids Games and Activities: Jenna reported that we still need a face painter. Jenna reported that we have 3 potential sponsors (PTO = 2, Shorewood = 1) for two bouncy houses, so we will ask one of them to sponsor the cave or the cake. Jenna asked Pam Hansen (still waiting to hear back) if she would be the coordinator of volunteers for bouncy houses, rock wall and cave. Shawn suggested that we ask Andy (longtime volunteer). Jenna will ask Andy if Pam Hansen can’t do it. Jenna also reported that we have no beanbag tournament because we have no one to lead it. MaryLynn is still trying to ask the people from The Brick. Food Vendors Bethanie reported that she’s still working on getting contracts. We have Chippies, Rolling Cones (partial day till 4:30), Sprecher, Jet’s Pizza. We are still working on WI Cheese Curds and the Ice Cream vendor. The Boy Scouts are selling corn, water and beef sticks. Volunteers Bethanie isn’t just going to ask for blanket volunteers. She’s going to be really specific about what people will be doing. She’s going to have teenagers delivering water and picking up trash every hour on the hour. She will use Sign-up Genie. She wants to give a $5 food voucher for volunteers and maybe a t-shirt for super volunteers. She wants Abby (our volunteer photographer) gets a t-shirt (she didn’t get one last year). We should all ask people we know to volunteer the day before and the day of. Next Meeting There were problems with the May 10th meeting date, so Jenna will send out a survey about this.
