`` May 17, 2017 City of Glendale Official Minutes – Fourth of July Committee Meeting Present: Robin Benedon Ann Markuson MaryLynn Cinealis Stacy Steele Stacie Bishop Jenna Kunde Bobbie Hughes Bethanie Gist Dave Hinman Jill Kastner The Meeting was called to order at 6:30 pm and began with the Pledge of Allegiance and introductions. Jenna Kunde shared the story that a Glendale family shared with her that they changed the date of their family vacation so that the family could attend Glendale’s Fourth of July celebration. She thanked the whole committee for creating a fantastic event and for all of their time and dedication. Glendale Fourth of July Booklet We are targeting June 17 for booklet distribution. Marty Hersh will let the committee know if the Scouts would like additional volunteer support from the committee or our friends. The committee is asked to please reserve this morning if possible. Marty will work with Shawn Lanser to get updated maps that hopefully have approximately 100 units in each so that we can better allocate booklets to the volunteers. Jenna Kunde reported that the booklet and sponsorship budgets are on track, pending follow up from a few large contributors from years’ past. Final amounts should be available at the May 31 meeting. She will work with Shawn on getting the booklet pieces to the printer. The promotions committee and Mueller Communications will design the pages for the booklet that are ours. Food Vendors The committee approved Bethanie Gist’s request that Dr. Dawg come later in the day when Rolling Cones leaves. Bethanie will ask Dr. Dawg if they’d be interested to come at 4:30 pm when Rolling Cones leaves. 2017 food vendors: Chippies, Rolling Cones, Sprecher, Jet’s Pizza. We are still working on WI Cheese Curds and the Ice Cream vendor. The scouts are selling corn, water and beef sticks. All food and drink sales will stop at 9:00 pm. Shirts MaryLynn Cinealis distributed the committee’s polo shirts. See Volunteer section for volunteer shirt distribution decision. Children’s Parade Ann Markuson gave an update on donations for goodie bags for the kids: MaryLynn has tattoos from Pet U. Robin Benedon got donations from Animal Dairy Land, Dickie’s Barbecue Pit, Dr. Dawg, Dairy State Foods. Promotions Committee to ensure that these donors are thanked in the Glendale Fourth of July Booklet. `` Marty Hersh will make a coupon for the bags from Dickie’s Barbecue Pit for a free soda. Ann is contacting Kilwin’s for a coupon. They do not need to be listed in the booklet since it’s a % off coupon and not a donation. Ann will ask Gordon’s Food Service or Taher foods for a donation of 250 vanilla cups with the cute little wooden spoon. Jenna will order 250 mini patriotic beach balls to go in the bags. Amy Barlament will volunteer to help the kids set up at beginning of parade. Mayor Kennedy will announce the beginning of the parade. Ann and Robin will be at the end of the parade route giving out the bags. Parade Officials and Vehicles Jill Kastner reported on the parade. She has a full lineup. Committee members had a variety of questions for her on which acts are in the parade. Bryan Kennedy is coordinating the officials. MaryLynn said it’s still a bit early for vehicles. Stages Stacie Bishop reported that the Stages Committee has finalized the lineup. All times are approximate. Stages committee to communicate finalized times to Shawn Lanser and Jenna Kunde for inclusion in the booklet. Stages committee to provide band artwork to Natalie Verette at Mueller Communications and copy Stacy Steele, Jenna Kunde and Shawn Lanser. South Stage (the stage where the nighttime band plays) 11:30-12:00 Infinite Gymnastics 12:15- 1:00 Ina Onilu Drum and Dance Ensemble (teaching component) 1:15 – 2:15 Ukuladies (teaching component) 2:30 – 3:30 Gypsy Geoff (teaching component – will be on the ground before this time providing entertainment) North Stage (the stage which is under the larger tent) 11:15- 12:15 pm Total Control 12:15 Mayor’s welcome and committee and sponsor thank you. 12:30 – 2:00 pm Orange Whips 2:30 – 3:15 Magic Rivers 3:30 – 5:00 pm Talent Show - quick sing-along while the judges of the talent show are tabulating their votes? Stacie expressed some concern whether this is enough time for bands to break down/set up. Committee felt that this has been done in the past and should be OK. Talent Show The link to sign up for the Talent Show is on the City of Glendale’s web site at: http://www.glendale- wi.org/434/Fourth-of-July `` Promotion of this will be sent via Nicolet to Nicolet students and the feeder schools for Nicolet. Robin suggested we check with the Milwaukee Jewish Day School, Hillel Academy and the other religious schools in the area to see if they’re getting this bulletin. Kids Games and Activities: Jenna reported that we still need a face painter. Bethanie has some leads that she will provide to Jenna. We have no beanbag tournament because we have no one to lead it. MaryLynn is still trying to ask the people from The Brick. 2:00 pm was agreed upon for the Summer Soak by the North Shore Fire Department. Jenna asked if the committee had additional ideas for games or activities – they are still quite welcome. Jenna to ask Sprecher if they can provide the bean bag toss games again and The Bavarian for any games or activities they may have that we could borrow. Parking and Police Presence Lost and Found is at the Volunteer table. Dave Hinman will provide Bethanie with the CO’s phone number for lost children and nonemergency number. All parking and police presence will be the same as last year. Grounds: Committee suggested that picnic groups be given extra garbage bags. We need a bike rack at the park during the day. Bryan to research. Fireworks It was decided to have, in addition to the American Flag, the word “Glendale” as a ground display. Volunteers Bethanie is going to look at the number of volunteers and the tasks and determine which should get a t-shirt. In general, those tasks which require authority and to be known as a committee volunteer should get a shirt. These include: photographer; volunteer at the main volunteer table; volunteer at the bouncy houses, cave maze and rock wall. In general, this is what the volunteers will receive: Under two hours – get a free drink Two to four hours – get a free drink and a $5 food voucher Four + hours – get a free drink, a $10 food voucher and a t-shirt Next Meeting The next meeting is scheduled for Wednesday, May 31 at 6:30 pm. Fireworks Paul Stelzel reported that we need to figure out if we’re keeping Glen Franklin. He is $385. Any ground display that is the same size will cost the same. 5’ X 10’ = $185. Traditionally, for ground effects, we’ve done the Flag and Glen Franklin. We can do liberty bells, eagles, pinwheels, fire trucks, etc. Bethanie suggested we have one to honor Glendale Fire and Rescue. We could do the word “Glendale.” The lettering is 2 feet high. We should let them know mid to late May at the latest. The committee agreed by consensus that we should change from Glen Franklin to something else. Jenna will send out a one-question survey about which new ground display we will switch to. Stages Trinny reported that she hasn’t booked anything because we are way over booked on stages right now. We have Total Control, who had hoped to get $500 but would probably play for free. Blue Heron is an acoustic group and is free. They would be during a transition (while electric bands change equipment). Orange Whips has been suggested as a daytime band b/c they play for three hours (rather than switching bands often). We decided that we like the variety of having more short acts rather than fewer long acts, so no Orange Whips. The sound technician is $350. The nighttime band starts at 5 or 5:30. We are calling the stages “North” and “South” now because there’s music at both and community events at both, so it was confusing. Infinite Gymnastics is in, and Girtons told Jenna they were interested but Trinny hasn’t heard from them yet. FEAR hasn’t responded to Trinny yet so she asked Jenna to reach out to them. Magic Rivers is the high-school band and Trinny suggests staying with them. We decided to do this, partially because this is their last year. We also decided to advertise in the program for another high-school band for future years. Trinny talked about how our decision about what goes on which stage needs to be largely influenced by sound technicians. We need the professional sound technician to also run the sound for the talent show. Stacie said her neighbor is a sound person. Trinny said we need to get him committed by Friday or we need to move forward. Jenna asked Trinny to ask the professional sound person to add speakers just outside the tent so acts can be heard outside the tent. Trinny wants Jenna to find out how the parade budget is doing (because we could use some of that money for the stage budget if there’s extra money in the parade budget). Shawn suggested that the African drumming act could possibly be in the parade rather than a stage act. Bethanie suggested a quick sing-along while the judges of the talent show are tabulating their votes. Daytime Activities Jenna brought up “The Big Splash” and what time we should do it so as not to soak the talent show participants right before the talent show. Trinny suggested moving the talent show earlier, but there was discussion that this could make people leave early. Bethanie suggested that we could do the Big Splash earlier so kids have time to dry off. Booklet Sales Jenna said that it is unlikely that we will get the $1500 from Mueller Communications and we had met our budget aside from that. `` T-Shirts MaryLynn said that Burkharts said no to more shirts. Now we need to choose colors for volunteer shirts. We decided on neon blue. There was discussion of whether the committee should pay for the committee shirts personally or if the committee shirts should be paid for with donated committee funds. Shawn moved that we allocate up to $25 per committee member who has attended at least 3 committee meetings by the end of May for polo shirts (or reimbursement for those who purchased a shirt last year) for committee members. Jenna seconded. Motion carried. Children’s Parade MaryLynn has tattoos from Pet U to go in the goodie bags. Parade Officials and Vehicles Bryan is coordinating the officials. MaryLynn said it’s still a bit early for vehicles. Grounds: Eric reported that he and Glennn went to Home Depot to look for supplies that we would ask for from Home Depot to upgrade electrical service at the park, but they didn’t have the big waterproof enclosure. MaryLynn asked Eric to provide more info about this because Tom (her husband) might be able to ask his contacts about getting something like this. Shawn reported that we have porta potties and a plan for a regular garbage dumpster and a smaller recycling dumpster. He will work on getting recycling bins. Shawn asked if we would be keeping the layout the same, and several people expressed a strong opinion that we should keep the layout the same. Shawn asked because the Cave (which is new) needs a spot. Bethanie suggested placing the cave as a barrier to keep people from walking across the softball field. Kids Games and Activities: Jenna reported that we still need a face painter. Jenna reported that we have 3 potential sponsors (PTO = 2, Shorewood = 1) for two bouncy houses, so we will ask one of them to sponsor the cave or the cake. Jenna asked Pam Hansen (still waiting to hear back) if she would be the coordinator of volunteers for bouncy houses, rock wall and cave. Shawn suggested that we ask Andy (longtime volunteer). Jenna will ask Andy if Pam Hansen can’t do it. Jenna also reported that we have no beanbag tournament because we have no one to lead it. MaryLynn is still trying to ask the people from The Brick. Food Vendors Bethanie reported that she’s still working on getting contracts. We have Chippies, Rolling Cones (partial day till 4:30), Sprecher, Jet’s Pizza. We are still working on WI Cheese Curds and the Ice Cream vendor. The Boy Scouts are selling corn, water and beef sticks. Volunteers Bethanie isn’t just going to ask for blanket volunteers. She’s going to be really specific about what people will be doing. She’s going to have teenagers delivering water and picking up trash every hour on the hour. She will use Sign-up Genie. She wants to give a $5 food voucher for volunteers and maybe a t-shirt for super volunteers. She wants Abby (our volunteer photographer) gets a t-shirt (she didn’t get one last year). We should all ask people we know to volunteer the day before and the day of. Next Meeting There were problems with the May 10th meeting date, so Jenna will send out a survey about this.
