`` August 30, 2017 City of Glendale Official Minutes – Fourth of July Committee Meeting Present: Mary Lynn Cinealis Marty Hersh Stacie Bishop Jill Kastner Jenna Kunde Shawn Lanser Robin Benedon Eric Zentner The committee met to discuss what went well and what needs improvement. Children’s Parade: Ann did a great job. We appreciate Marty’s donations. Robin said that we had a lot of ice cream and bags left over, so they started giving them to random people, but then there were main parade participants who came later and there was nothing for them. It was clarified that the main parade participants had no expectation of ice cream or gift bags. Main Parade: Jill said that we definitely need more volunteers before and during the parade to keep cars from entering the parkway. Also kids were getting lost. In addition to the 7 people we have, we need at least 3 more people; they don’t need to be specially trained. Mary Lynn talked about how she and Tom are personally responsible for all the parade vehicles. Shawn said that if we get the VIN #’s 4 days ahead of time, we can put a rider on the city’s volunteer insurance. Mary Lynn said it was kind of chaotic at the end. It was mentioned that Glendale P.D. always seems to be shorthanded due to vacations or retirements etc. Marty suggested that the parade start at Maslowski Park and go down Bender to the Parkway and then turn north. Marty thinks this will open up a “lost” part of Glendale. Bryan mentioned that this goes by three retirement homes, and the residents might like that. It would mean making a bigger loop to get back to the parade beginning point. Shawn mentioned that it would make staging very difficult – there may not be room in the Maslowski Park parking lot for all the cars and acts. If we recommended this as a committee, it then goes to the police chief and the common council and the state. We will consider this and come to a decision at our next meeting. Volunteers: We discussed if former committee members might be able to volunteer on the 4th, especially for the parade. Marty and Bryan mentioned that we could have a Fourth of July table at each voting polling place. Stacie suggested that we need adult supervision of Jedi training throughout the whole time. Bryan suggested that we reach out to different teenagers, like NHS. He also suggested that we have a presence at Nicolet events to target Nicolet parents to volunteer on the Fourth. Jenna said the maps for booklet distribution were great. Bryan suggested that we target condo and apartment buildings better. Games and Activities: Summer Soak was well-received by the community. The Dunk Tank is always popular. What happened to the disc golf? We need a sign so more people come and try. Shawn thinks some people didn’t know that it was open to the public. JP said that taping off the softball field was a good improvement. Robin suggested that the games, especially the bouncy houses, could go later. Jenna explained that a lot of the businesses pay their employees for four hours. Getting more volunteers was discussed. Stages: The sound balance between the stages was good. Maybe School of Rock could have been a little quieter. The talent show was a huge hit. Bryan suggested that we ask Tristann Reick to organize the talent show if Trinny `` can’t. Eric complained about the way Playlist dismantled our electrical panel and didn’t put it back when they had been told how to hook up to our panel properly and had agreed to do it this way. Orange Whips is a possible band for next year, and two of the members have a smaller band named Slim Rox, and they could be one of the smaller band acts. Committee: Jenna’s biggest suggestion is that we have two people in charge of everything so that when we lose one person, it doesn’t land on the chair. Bryan said that the city is looking at shifting some responsibilities in order to have a part-time event coordinator (there are other events in the works). If people know others who would be good on the committee, they should encourage them to join. Finances: Shawn said we’re doing pretty well. Ace Hardware paid. Shawn hasn’t gotten anything from Sprecher or Rolling Cones or Jet’s. They haven’t paid their 10%. Shawn hasn’t seen any check from PTO. There are outstanding reimbursement receipts too. Jenna asked that he please follow up on all payments and receipts and provide us with a final budget from 2017. She offered to help collect money if Shawn needed it. Food: Stacie said there was a great variety of food. Marty said there are others we could reach out to like Noodles and Company, North Shore Events Center. The committee discussed that now that we have more food vendors interested, we should prioritize Glendale businesses first and include others only if there are holes we cannot fill from Glendale (like popcorn and cheese curds). Grounds: Marty liked the takedown lights but could use one by the trailer. Jenna loves the trailer. The breaker boxes in the park aren’t really that bad (they’ve been sealed up to keep pests out). Organization: Jenna talked about meeting scheduling. It should be a set, unalterable date, or the city should take over scheduling. Jenna does not want to be moving dates around anymore. Shawn, Mary Lynn and Jill said Wednesday nights are good. City Hall is always available. Jenna talked the need to have our information/forms on a Fourth of July committee website, like with Shutterfly (as our son’s Soccer team uses). Shawn said this is currently being discussed by the city. Bryan thought the Chamber of Commerce could do this, but isn’t really interested. MaryLynn talked about how useful this is at her workplace. We could use a volunteer (or the city?) to lead the creation of this site. Next Meeting The next meeting will be in early November, at 6:30 at City Hall – specific date tbd. We should book a band at this meeting, so committee members should brainstorm band suggestions. The meeting was adjourned at 8:30 pm with thanks to all the committee members for a job well done!
