`` November 1, 2017 City of Glendale Official Minutes – Fourth of July Committee Meeting Present: Mary Lynn Cinealis Marty Hersh Tom Cinealis Bobbie Hughes Jill Kastner Jenna Kunde Bethanie Gist Jessica Ballweg Shawn Lanser Eric Zentner Hope Liu Bryan Kennedy Robin Benedon The meeting was called to order at 6:34pm with the pledge of allegiance. We started with introductions. We have new members not present: Sarah Acker, Angie Kreuger, Mike Crager (from Glen Hills). We lost Stacie Bishop, Stacey Steele and Liisa Church. Steve from Sprecher knows someone who can get an ATM for the park on the day of. Ann Dueser will be selling ads through her job with the city convention and visitor’s bureau. There will be “one-stop-shop” ads where you get to be in the fouth-of-July booklet, the Music in the Glen program, and a newly invented Rootbeer Bash program. Meeting Dates: It was proposed that we have a set meeting date that never changes. We decided to make this the first Wednesday of each month. Main-stage band (evening band). No one had suggestions, so the homework for next time is to come with band ideas. Roles: Fundraising: We may not need someone to lead booklet sales now that Ann is doing it, but Jenna proposed that we have someone from the committee to share our ideas and goals with Ann. Shawn will probably be that person because Ann’s position covers more than 4th of July. We are tabling fundraising and promotion until we learn more about how Ann Deuser’s role will impact this. Jenna asked Jessica if we could have a share-point site for all of our documents, forms, minutes, calendar, etc. Bryan said that we can do this, but anything we put there is subject to freedom-of-information requests. Bethanie suggested that it could be read-only for the public and only we could edit it. As of right now, we do not have a police liason. Bethanie talked about how we often talk about off-site parking, but we haven’t come up with a solution yet. We need shuttles to take people to and from. Jessica suggested hotel shuttles could be donated. Bethanie suggested that we need a subcommittee who could lead this effort. Bethanie talked about volunteers. She said it’s a waste of time to look for volunteers in February or March. We get all our volunteers in May and June. Bethanie would like to change our committee structure for volunteering. We need to sign people up for specific tasks in specific time slots. We should have a customer- service tent until fireworks begin. `` Children’s parade: Robin thought it went fine. Robin said that the people cutting cake started cutting the cake huge and soon after had to cut the pieces tiny because they were running out. Eric suggested that maybe they should use a tape measure to ensure accurate size. Parade: We can start booking things already. Jill will lead the parade again. Mary Lynn will do cars again. Bryan will do the politicians again. Mary Lynn said we need bigger staging flags. Jill said if members have a contact with a group, contact them yourself and let Jill know. If it’s just an idea, give the idea to Jill and she will contact them. It was brought up that we should be paying parade acts on the day of. Food Vendors: Bethanie asked if anyone had complaints about any vendors (no one did). She asked how the transition of Rolling Cones to Dr. Dawg did. Everyone said it was smooth. Jenna mentioned that it’s nice to have Glendale vendors there, like Dr. Dawg and Jet’s. Marty mentioned that we could ask Noodles and Co. Bethanie, Tom, and Marty all had experiences with the manager complaining a lot and having a bad attitude. Eric suggested that Glendale businesses are great, but not if they come with bad attitudes. Shawn mentioned that we should have menus approved ahead of time to avoid redundant offerings. Marty suggested sub sandwiches. Bethanie said they would do consignment but not send staff to sell the sandwiches. Music Stage and Community Stage. This is a lot of work. Jenna suggested that we ask Sarah to lead this, but we need more people to help recruit talent for the stages. Hope suggested we ask the Stritch community. Mary Lynn asked if we keep getting new talent each year. Jenna said the talent show is really loved and has new talent each year. It’s pretty much all kids from Glendale. Kids’ activities: Jenna hopes to get the Bavarian to bring their games. Marty said they didn’t use them at Oktoberfest. Marty said he knows someone who could perhaps bring carnival games. It was suggested again that we have bingo. Jill suggested a pie contest. Hope suggested a root-beer float world record (biggest root- beer float made and served). Shawn said it would take about 40,000 people. The meeting was adjourned at 8:05pm Next Meeting The next meeting will be on December 6th, at 6:30 at City Hall. We should book a band at this meeting, so committee members should brainstorm band suggestions.
