Mike Morris of Glendale P.D. Sarah Acker Ann Deuser Jessica Ballweg The meeting was called to order at 6:30 pm with the pledge of allegiance. We started with introductions. Ann Deuser talked about the booklet. It goes out to all homes in Glendale, and is distributed by the Boy Scouts. There are three sizes of ads. Ann will be contacting businesses to sell ads, lay out the booklet, get it approved, and get it to the printer. Jenna said that we’re looking for someone who could work with Ann. Budget: Shawn talked about how the city contributes half of our income, $20,000, which mainly goes for the parade and fireworks and park rental. The other $20,000 we have to fundraise. Shawn showed a 2018 draft budget which shows total expenses of $39,675. Jenna pointed out that we usually give the Scouts a donation for distributing the booklets. Shawn said that we didn’t do that in 2017. Jenna proposed that we pull some money ($350) from booklet printing and move it to booklet distribution for the scouts along with the $100 we already have on the “Scout” line. We voted to approve the budget with this modification. Children’s Parade: Ann Markuson and Robin Benedon are doing this, and they aren’t here, so no report. Parade: Jill Kastner reported that she sent an email asking for a list of last year’s parade acts and she now thinks she has a pretty complete list. Bryan gets elected officials and other high-profile people and MaryLynn gets cars for the parade Jenna said that we’re looking for someone who could help Jill, especially to identify and contact new acts. Marty proposed changing the parade route so that the parade would start at Maslowski park and go east on Bender and then turn north onto the Milwaukee River Parkway and end at the Kletzsch Park Pavilion. This would involve closing Green Bay road for nearly two hours. Sgt. Morris said that he needs to look at the manpower requirement for this additional closure. He said we are legally entitled to close it, but logistically, it might be very difficult. There was consensus that both parades (children’s and regular) must be on the same route. The Speedway gas station and the nursing homes on Bender would be cut off for this time. Detouring would involve rerouting traffic all the way south to Silver Spring. Ann talked about the difficulty of communicating the procedures for staging and returning to the starting point. Shawn talked about the challenges of staging walking acts and vehicles and merging them in the limited space of the new park. Steve talked about the superior parking options around Parkway School. Marty ultimately said that we don’t need to vote on this because the logistics are prohibitive. Layout: Shawn talked about how we’ve had two stages in the past (a community stage for small acts) and a music stage (with a small tent to shelter the performers) that is mainly for the nighttime band. Shawn proposed `` getting one big super-tent instead of two. It would have areas to eat, listen to music, etc. Marty said it’s like the setup of a church festival, with food in one place, beer in another, etc. Shawn said this would probably relocate the dunk tank and cheese curds and may preclude softball. We would lose the small, community acts and softball. Shawn said that it would mean we would avoid one of the two PA system rentals. Jill said she liked the idea of having more covered seating for the oldest and youngest. Steve likes having the music back a ways, outside the tent so the activities are still spread out. Marty talked about how we’ve been lucky with the lack of rain recently. Ann thought we might generate more revenue because people would stay and eat and drink longer. Sarah thought we could get a better deal for sound/lights for just one stage for the whole day. Shawn said the cost of the one big tent would cost about the same as the two smaller tents. Sarah thought we could still have some (but not as many) small acts. Shawn will bring pricing for a large tent and one stage to the next meeting where we will make a final decision on this idea. Nighttime band: Sarah asked if we’ve had “Five-Card Studs.” Shawn said maybe back in 2010 or earlier. Shawn proposed “Oil Can Harry” ($3000) (Sheperd Express 2008 best band). “Cold Sweat and the Brew City Horns” ($3500). Steve said that Oil Can Harry sounded more like a Fourth-of-July nighttime band while Cold Sweat is more like a “Music in the Glen” band. Ann proposed “Ruckus” (her brother’s band) which is similar to the Five Card Studs of the Appleton area ($1600). Sarah, Ann and Shawn will send Jenna links to sample music, and Jenna will send out an email with links and a survey for voting. Members will have one week to vote through this survey so we can book the band in a week or so from now. Marty knows someone who does karaoke. $295 for 2 hours. He’ll give this information to Sarah Acker. Jenna went over our “need” list to try to get volunteers to fill these needs. Vice-chair Vice-parade chair. Jessica volunteered Shawn suggested that if we see something cool, this might be good for our parade; look for new things we haven’t seen before. Jessica suggested that an act in an afternoon parade could also do our parade since it’s earlier. Parking (someone to lead) – Marty will take the lead on Shuttle vans from Glen Hills to the park. Jenna will give him contacts. Sarah suggested Nicolet’s vans. Ann suggested car dealership vans. Hope suggested that going from Nicolet might be easier than Glen Hills Website (set up shared document library) – Steve volunteered to take the lead on this. Work with Bethanie on volunteer coordination Lead Talent Show Shawn showed a collection of old attire (hats & vests) and suggested that some people could wear them in the parade.
