`` CITY OF GLENDALE April 16, 2019, 6:30 pm 2018 4th of July Committee Maslowski Park 2200 W. Bender Rd. Glendale, Wisconsin 53209 1. Call to order and Pledge of Allegiance The meeting was called to order with the Pledge of Allegiance at 6:31 PM. Jenna Kunde, Steve Schmelzling, Mary Lynn Cinealis, Sgt. Mike Morris, Ann Deuser, Marty Hersh, and Bobbie Hughes were present. 2. Introductions There were no individuals to introduce to the committee in attendance. 3. Committee updates and decisions Food vendors – Bethanie Gist and Marty Hersh Marty has followed up with Bethanie for any updates. Scouts are on board for root beer sales. In the past the Committee has waved the fee and the 10% for the scouts. It was moved by Marty Hersh, seconded by Steve Schmelzling that this continue grandfathering the prior policy. This passed unanimously. It was also raised if the scouts need to have a vendor form considering this. Expectation is to still have one on file. Marty will fill out the form with though no obligation to pay the 10%. Marty mentioned Sprecher will provide the barrels at non-profit rates. Sprecher asked for a form letter for anything else they can donate. That was sent to Sprecher. They could donate things like cups, a free barrel, etc. Once we understand if we get an ice cream vendor, we may or may not decide on providing floats and finding ice cream. Jenna asked about the alcohol license status with Chelsea of The Brick and potentially use of Sprecher trailer. Sprecher only allows using their beer in their truck. It is not feasible to get the truck for limited Sprecher beer sales and a secondary trailer for additional beer sales. Jessica will send Marty the application for special picnic license which he will work with Chelsea to get signed. At which point Jessica will have Staff approve. If there are complications, Ann said this could also be done via Welcome To Glendale with Chelsea being the bartender. Contracts for Brick, Yum Yum, Rolling Cones, and Wisconsin Cheese Curds are in. Chippies is in the process of returning the contract. Given we have Wisconsin Chees Curds we will not be reaching out to Noodles. The Brick will be having the more substantial full meals. Menu will be emailed to the committee. It has vegetarian options. Ann asked if we have any kosher offerings. Steve indicated that this is a good idea to be inclusive to the Jewish community nearby though also noted The Brick would need not just kosher hot dogs but cooking equipment. Some discussion about kosher needs ensued including the likelihood of people who keep kosher buying there versus bringing their own. Given The Brick is doing this for the first time, the committee agreed to first get their non-kosher arrangements in place, then look at having them add a kosher option. Steve suggested that he could reach out to the neighboring Synagogue Rabbis to get a feel for market and any potential support with equipment. Ann mentioned we should market this in our pamphlet if arranged. Page 1 of 4 `` Still would like to have the Sprecher Truck for Rootbeer sales even without it there for beer sales. Marty will follow-up with Sprecher to see if we can still have them present and visible at our 4 th of July event in this way. Booklet Sales – Tom Cinealis and Ann Deuser Donations pledged to date: Welcome to Glendale $1500, GSCC - $100 and will also be in parade, Bayshore is donating $350 for gift certificates in $25 increments, Brass Bell has a quarter page add and $250, Rightway is $450 for ½ page add, Shorewest has $450 for ½ page ad and will be in the parade. Some discussion ensued about potentially reaching out to Coldwell Banker. 1st Financial again for fireworks, $4,500. Clark Dietz is back cover at $1200. Fuchs and Boyle $250 for a ¼ page ad. Amato is donating $1,000. There are a number of activities for which Welcome to Glendale is raising funds so attempting to package value where sponsors would see it most yet also benefit all activities. Promotion/booklet design, signs and invoices – Ann Deuser Ann and Jenna meeting next week on promotion activities. The question was if we needed more booklets, though we had about ½ box left so counts were good for 6,000. Jill mentioned there are the 4’ x 6’ banners which will be put up again. Treasurer/City Liaison including budget, contracts, paying vendors, acts & other bills, liaison with DPW, Police, County, dumpsters & port-a-potties – Jessica Ballweg Budget is coming together with the 2019 numbers. Jessica working with Shawn and other staff on the 2018 numbers for actuals. Contracts are being collected by Bethanie. Jenna will ask her to check with those vendors if they submitted the 2018 City proceeds. There is a county vendor fee up front, and then Glendale gets 10% of vendor proceeds at the end of event. Volunteer promotion, coordination, incentives – Bethanie and Steve Schmelzling Have the sign up published now: https://www.signupgenius.com/go/70a0b48aea92ba64-glendale1 Have agreed that volunteers are sorely needed given limited committee members. Marty moved and Steve seconded we set aside $5 per adult volunteer for food tickets for 2 hours min of service. T-Shirts for more hours service, keeping to the same policy as last year. Suggesting volunteers also have stickers name tags for authority and to designate if they do not have a t-shirt. Jenna to work with Steve on printing name tag labels. Suggesting reach out to National Honor Society, Cub / Boy Scouts, Glen Hills and Parkway Parents groups, others. Direct contact works best. Ann thought about having Lions club potentially help volunteer. Daytime and nighttime stage acts and stage management – Sarah Acker Schedule of events presented by Jenna. Scouts will be doing color guard again. Mayor announcement at noon. Suggesting do a veteran nod and potentially have a veteran named with their contribution. Potentially could reach out on Welcome to Glendale to find the veteran to honor. Kids Boogie down is doing music, Unknown as well, then 5 Card Studs. Could maybe work in one hour for bingo. Steve suggested potentially sheepshead, though that would go long so not moving forward with it this year. Children’s Parade and cake volunteers – Ann Markuson & Robin Benedon No updates Page 2 of 4 `` Parade – Jessica Ballweg Parade vehicles are in progress. Getting sign ups. Do not have Glen Hills Jazz but will have Nicolet this year. Also have a brass band and drum band lined up. Nicolet Boys State Basketball said interested. Suggesting also a portable hoop and a spot in the street. Wrestling and Swimming also did well. Jessica will get info from Ann and potentially talk with Kirk at Nicolet about other teams. Nicolet Fear is coming as well. Kids boogie down will be there and could have a group of princesses as well for a fee. Jill will ask about cost and we’ll need to stage them where cars don’t follow. Will also explore getting Lions club. Have Rosco coming. Trying to get the Chinooks mascot. Tom provided some detail via email on the cones and flag marking approach. Still some concerns about volunteers given we had very few last year. This was a challenge last year. Jill will be staging the night before. Will help with setup that morning. Given the City Hall construction will need to discuss where the staging locations need to be. Thoughts are city services is best for the rental car staging. Typically, there are 6-8 rental cars, last year there were 10. Parade officials – Mayor Kennedy Bryan will be reaching out shortly for elected officials. Parade vehicles – Mary Lynn Cinealis The City of Glendale has a strong relationship with Sprecher for the Music in the Glen. There was some discussion about Sprecher truck or no truck in the parade. Sprecher chose not to send truck to our 4 th of July parade. Scout coordination (food, dunk tank, marching in parade) – Marty Hersh & Steve Schmelzling Dunk tank confirmed. Will have the trial riders again so may need to have them help with clean up in the parade. Police presence – Sgt. Mike Morris New K9 not ready yet. Bike police will be in the parade. No known impact yet from Bender Road or Kletzsch Dam work. Bender Rd. may be under construction in July. The Silver Spring bridge over the river will be under construction this summer. Grounds/Layout – Eric Zentner Grounds layout as discussed at last meeting. Kids games and activities – Jenna Rec department baseball is progressing. Mario is lining teams up. Jenna is also looking to fill the space with any other time left over. Working to contact Glendale Little League for parade. Jenna has contracts for the rock wall, cave, inflatables. Face painter is still in progress. Talent Show – Michelle Kornitz Michelle is expected to be helping. Ann will reach out and have her contact Jenna. Fireworks – Jessica Page 3 of 4 `` Jessica talked to Paul, our fireworks vendor. Budget confirmed $12,000. Plan is to do it again like last year. Jessica will follow-up with Paul on the ground fireworks issue we had, won’t be doing them again. Website and IT (for online documents, forms, photos, etc.) – Steve Schmelzling Steve provided notes on getting an email or website setup specific for the 4 th of July. It would be about $150 per year to use the no-code easy tool. Email could also be setup but more costly at $6/user/month through google or go with a bundled 5 email option for $40/year at a cheaper provider. Committee decided unanimously to get own website since Welcome To Glendale likely going through replatform in the future and the Glendale site not easy to update and not for marketing. Will go with simple email redirects to volunteer emails for now. Will use Glendale website until new one setup. Steve will start work on setting up.
