Hampton Coliseum Citizens Advisory Committee Meeting – October 23, 2018 Attending: (A) = absent Bob Boester ( ) Willie Brown (A) Lynne Hutton (A) Asa Jenrette (A) Andrew Wilson ( ) Ryan Lowrie ( ) Woody Newman ( ) Donte Perry (A) Samantha Snead ( ) Patricia Melochick (A) Terri Vander Vennet ( ) William Moore ( ) Call to Order/Reading and Approval of Minutes: At 12:45p.m., Chair Boester called the meeting to order. Meeting start delayed due to accident traffic. Motion made by Mr. Newman to approve the minutes of the September 25, 2018 meeting. Ms. Snead seconded. The motion passed. Chair Report/Announcement: Chair Boester discussed the previous weekend’s Phish concert. Attending committee members shared their experiences, commenting how the October 19 – 20, 2018 shows were the 19th, 20th, and 21st performances of the band at the Coliseum, exceeding the 20 Coliseum performances by The Grateful Dead. Mr. Newman stated the Screens-n-Suds Phish Art event was very well attended. Mr. Wilson though the afternoon rain assisted. Proceeds for the auction will be donated to several charities including the Multiple Sclerosis Foundation, Hampton City Schools Fine Arts Program and Hampton Arts Commission. Director’s Report: Ms. Vander Vennet reviewed the FY18 unaudited financials for Hampton Coliseum/Hampton Arts Commission. An overview was given of the CIP projects for FY19 which include Chiller, Garage, and computer replacements and purchase of a Basketball floor. Other Business: Chair Boester led a discussion of the most recent newspaper article on the replacement of the Richmond Coliseum and what the impact would be to Hampton Coliseum. Chair Boester stated the committee is now going into a closed meeting pursuant to Virginia Code Section 2.2- 3711(A)(1) for discussion and consideration of prospective candidates for appointment to the Coliseum Citizens Advisory Committee. A motion of approval was made by Mr. Newman and seconded by Mr. Wilson. Unanimous consent was given. The Closed Meeting sign was posted and the Closed Session conducted. Ms. Vander Vennet stated it is now appropriate to take a roll call vote and that to the best of our knowledge (i) only public business matters lawfully exempted from open meeting requirements under this chapter, and (ii) only such public business matters as were identified in the motion by which the Closed Meeting was convened were heard, discussed, or considered in the Closed Meeting. Any member who believes there was a departure from the requirements of subdivisions (i) and (ii) shall so state prior to the roll call vote, indicating the substance of the departure that, in his/her judgement has taken place. Such statements shall be recorded in the minutes. No statements were made. Motion was made by Mr. Newman and seconded by Ms. Snead. Unanimous consent was given. Closed meeting sign was removed. Mr. Lowrie made a motion that the committee recommend to Council, the reappointment of Mr. Boester and Mr. Brown for a second term, at the end of their initial term on 12/31/18 and the appointment of Ms. Anne Rutherford or Mr. Jackson Joyner for Ms. Hutton’s expiring term on 12/31/18. Motion was seconded by Mr. Newman. Ms. Vander Vennet and Chair Boester to formalize the recommendation and forward to Council for consideration in determining final appointments. Adjournment: Meeting was adjourned at 1:26 p.m. Next Meeting: Next Meeting is currently scheduled for Tuesday, November 27, 2018, at 12 noon at the Embassy Suites.
