During the Financial Statement and City Project discussions, two additional members arrived (Malik and Nick, respectively). Minutes A motion to accept the September 9 meeting minutes was made by Randy and seconded by Ruth. All voted and the motion passed unanimously. Treasurer’s Report John presented the Treasurer’s report that included 3 approved expenses totaling $8,166 (two Otis invoices – repairs plus overtime - $7,825 and – monthly service - $276; and a QuickBooks invoice - $65), with a deposit of $1.42 for interest and a balance of $84,071. A copy of the summary report was provided to the secretary. A motion to accept the September month end treasurer’s report will be needed during the November meeting. Bookkeeping Updates After reviewing and discussing the CPA prepared financial statements for Fiscal Year starting July 1, 2021, through June 30, 2022, a motion to accept the financial statements was made by Randy and seconded by Jerri. All voted and the motion passed unanimously. The CPA is working on the 2023 and 2024 financial statements. 2 10/18/2024 City Project Update - Locker Room The locker room renovation is underway. Per Matt, an on-time completion is expected. Further updates will be provided on an as needed basis. Seating Safety & Accessibility Patti Parker, the City’s Risk Manager, and Angela met with Hudson & Associates in August and Hudson provided a cost estimate for them to update their 2016 report with respect to recommendations for the stands and ADA seating areas. Hudson estimates it will take $13,840 for them to complete a field survey, provide a preliminary demolition plan, a new plan, and preliminary cost estimate. A motion to authorize the chair to work with the City Attorney’s Office on a sole source contract for Hudson to complete the proposed work at a cost of $13,840 was made by Garth and seconded by Randy. All voted and the motion passed unanimously. Elevator Maintenance As we mentioned briefly at the last meeting, it has come to our attention that our current Otis contract does not include service call repairs. Today, we have two proposals we have received for elevator maintenance and repair. Angela summarized the proposals. The TK Elevator proposal included a lower monthly cost, regular hour service calls at no additional cost, and a lower overtime service call rate, and can be pursued as a cooperative contract. The Board decided to pursue the TK option. A motion to authorize the chair to work with the City Attorney’s Office on a cooperative contract for TK Elevator to provide the elevator services as noted in their proposal and to take such steps necessary to terminate the Otis contract was made by Garth and seconded by Melissa. All voted and the motion passed. Pilots Lease Amendment The Board discussed the extension of the Pilots’ existing lease. The proposed extension is for one year with no other changes. A motion to authorize the chair to work with the City Attorney’s Office to execute the amendment to the lease was made by Garth and seconded by Randy. All voted and the motion passed. Winter Projects 2024/25 Two winter projects have been approved and were funded at a prior meeting - Pitch Clocks at $15k and Padded Outfield Wall at $60k. The Pilots are prepared to proceed with these projects. Garth and Angela briefly updated the Board about potential equipment changes necessary for the Johnson Controls Fire Control Panel. At this time, Johnson Controls is managing the project, and no Board action is necessary. At the November Board meeting, we anticipate reviewing future capital improvement plan projects. Peninsula Pilots Updates The following highlights were provided by the Pilots and Community Baseball, LLC (CB LLC): 2025 Season Outlook Community Baseball is currently talking with several VA Colleges about War Memorial Stadium hosting 2025 Collegiate Level baseball games.
