CITY OF HENDERSON COMMISSION ON CULTURAL ARTS AND TOURISM APPROVED MINUTES October 15, 2015 I. CALL TO ORDER Chairman Brooks called the meeting to order at 4:37 p.m., at the City of Henderson, Henderson Convention Center, 200 S. Water Street, Henderson, Nevada 89015. II. CONFIRMATION OF POSTING AND ROLL CALL The Board Secretary confirmed the Commission on Cultural Arts & Tourism Meeting had been noticed in compliance with the Open Meeting Law by posting the Agenda three working days prior to the meeting at City Hall, the Multigenerational Center, the Whitney Ranch Recreation Center, Fire Station No. 86, the Nevada Public Notice Website, the City of Henderson Website, and by mailing a copy of the Agenda to everyone appearing thereon on the Agenda Master Mailing List. ACCEPTANCE OF AGENDA (For Possible Action) The Commissioners reviewed the Agenda as presented. (MOTION) Ms. Maynard introduced a motion to accept the agenda as presented. NEW BUSINESS 1 MINUTES JULY 16, 2015, COMMISSION ON CULTURAL ARTS & TOURISM Cultural Arts & Tourism For Possible Action. RECOMMENDATION: Adopt Adopt minutes from July 16, 2015, Commission on Cultural Arts & Tourism meeting. (MOTION) Ms. Maynard introduced a motion to adopt the minutes as presented. The vote favoring approval was unanimous. Chairman Brooks declared the motion carried. 2 VISITOR PROFILE STUDY Cultural Arts & Tourism Mr. Davis discussed the Visitor Profile Study (VPS) and the information which is collected including demographics and travel patterns we can use in order to effectively market to business and leisure travelers. Mr. Davis received approval to move forward with the VPS; however, it will be done differently. The City does not have the ability to collect the data so Mr. Davis is developing a method in which we will work with our hotel partners to piggyback on their existing guest satisfaction surveys or distributing rack cards at check-out asking them to complete the survey. Mr. Davis’ goal is to obtain 250 survey responses per quarter. Mr. Davis will be meeting with the Henderson Tourism Council and will also meet individually with the hotel properties to request their participation. The process will be evaluated after a quarter to determine if the method is working or if adjustments need to be made. Mr. Lindsey stated he would be willing to give a discount to a restaurant or free drink to those completing the survey. Mr. Davis noted the data that is collected would be shared with the hotel properties to help use as a marketing tool as our goal is to support the destination properties. Mr. Davis noted that they are looking for diversity in the properties for the survey including gaming and non-gaming properties, high-end and economy. 3 CVENT SUPPLIER NETWORK Cultural Arts & Tourism Mr. Davis noted that CVENT is a tool used by meeting and conference planners to decide which destination and property they want to hold their next meeting or event. Cultural Arts & Tourism (CA&T) has subscribed to their service, which includes banner ads and all RFP’s submitted by a planner in our zone of influence Commission on Cultural Arts and Tourism Page 3 of 4 Thursday, October 15, 2015 – Approved Minutes (i.e. Las Vegas, Laughlin, Mesquite, Primm) will be asked if they would like to include Henderson in their request (i.e. opt-in). The goal is to get the City of Henderson on the radar of some of the meeting planners who are doing small to mid-size conferences. If they opt-in, the request goes out to all the properties within the City of Henderson and CA&T will be notified as well. CA&T will measure the response to determine what type of return we receive and make adjustments as necessary. 4 USA TODAY PUBLICATION “GO ESCAPE” EDITION Cultural Arts & Tourism Mr. Davis noted that Cultural Arts & Tourism was preparing to place an ad in USA Today’s “Go Escape” winter issue; however, there was no space available when we went to sign on. Mr. Davis noted this edition fits in with the target group we’re after and he will revisit again for the December 2016 issue. 5 DESTINATION HENDERSON UPDATE Cultural Arts & Tourism Mr. Davis provided an update on the recent industry events Mr. Kirby has attended including the SPORTS Relationship conference, Small Market Meetings conference and Connect Marketplace. CA&T is also shopping for opportunities for tourism sponsorships to gain exposure for Henderson and generate hotel room nights. Mr. Davis also noted that CA&T hired a Senior Programming Coordinator, Stan Allen, for programming concerts and events at the Pavilion. Mr. Allen recently attended the International Entertainment Buyers Association conference, which provided a networking opportunity for entertainment buyers and sellers to learn about the upcoming touring season and discuss the latest trends in live entertainment. Through his attendance at the conference, Mr. Allen noted the degree to which the Henderson Pavilion was not recognized, but that it also provided an opportunity to lay the groundwork for acts coming to us. 6 EVENT SPONSORSHIP OPPORTUNITIES Cultural Arts & Tourism Mr. Davis noted two potential event sponsorship opportunities for CA&T, which include the U.S. Water Polo Association and the Wild West Bass Trail Tournament. The U.S. Water Polo Association has a qualifying tournament in Spring 2016 and CA&T has agreed to accommodate them and sponsor their pool fees and hospitality. They are also considering bringing the national tournament to Henderson in 2017 and 2018. Mr. Davis noted that sponsorship fees on our part are modest and they could potentially generate 1,800 room nights per event plus significant exposure to Henderson. Additionally, this would bring a lot of marketing support for Henderson and would highlight one of the best aquatic facilities. Mr. Davis noted the sponsorship fees are $10,000 per year. Commission on Cultural Arts and Tourism Page 4 of 4 Thursday, October 15, 2015 – Approved Minutes The second event sponsorship opportunity is the Wild West Bass Trail Tournament at Lake Mead, which is scheduled for Fall 2016. The sponsorship fee is $20,000 and the event is going to be broadcast nationally on Fox Sports West, Fox Sports Arizona and the Pursuit Channel. This nationally televised event has the potential to reach 51 million viewers. 7 CULTURAL ARTS & TOURISM EVENTS UPDATE Cultural Arts & Tourism Mr. Davis provided an update on our events, including Super Run, Ironman, Solas/High Kings, Oktoberfest, Los Lobos, Stroll ‘n Roll and WinterFest. Mr. Davis noted that Ironman is looking at a different destination as they’ve had difficulty working with the National Park Service and they will be making a decision by the end of November. The Commissioners suggested contacting Senator Reid and Congressman Heck’s offices for assistance. 8 BOARDS AND COMMISSION TRAINING Cultural Arts & Tourism Ms. Buggia distributed a notice to the Commissioners for an upcoming training session on Nevada’s Open Meeting Law, which is being presented by the City Clerk’s Office and the Office of the Attorney General. The training will be held on November 10, 2015, from 4:00 p.m. – 5:30 p.m. Ms. Buggia requested the Commissioners RSVP to her by November 5 if they plan on attending. VI. CHAIRMAN\MEMBER COMMENTS There were no Chairman/Member comments. VII. SET NEXT MEETING The next meeting was set for Thursday, January 21, 2016, at 4:30 p.m. VIII. PUBLIC COMMENT There was no public comment. IX.
