MINUTES OF THE HUNTSVILLE ARTS COMMISSION MEETING
Thursday, June 11, 2020, 5:00 P.M.
The Wynne Home Arts and Visitor Center, 1428 Eleventh Street

Commissioners Present: Ann Hodges, Jaspyr Sanford, John Escobedo, Margaret Smith, Betsy
Maloney, Paul Olle
Staff Present: Sarah Faulkner, Tammy Gann, Miranda Estrada
I. Call the meeting to order: The meeting was called to order at 5:04 p.m. by Ann
Hodges.
II. Hear citizen input: There was no citizen input.
III. Consider minutes of March 2020: The minutes of the March meeting were approved
on a motion by John Escobedo and seconded by Betsy Maloney. All members present
approved, and the motion passed.
IV. Discuss Huntsville Arts Commission grant guidelines and projects:
Sarah Faulkner explained the updated HOT Fund Application. The application packet
and process for the HOT Fund grants was reworked to make it easier for applicants.
An initial timeline was discussed, and other dates have yet to be finalized:
● Application period opens August 3.
● Workshops are held on August 28.
● Application period closes on September 16.
● October would be the review of application/presentations, and the grants
would be awarded.
Sarah Faulkner went through the rest of the application packet and discussed the
following details:
● The packet was originally over 30 pages and has been shortened to 13. It can
also be completed online this year.
● The main change is the scoring sheet/process for the Commissioners to fill out
for each applicant.
● Each Commissioner will be given a number at random (to remain anonymous)
and will rank each project based on a set of guidelines discussed in the
application packet. This could be a good way to provide feedback for the
applicants so they can understand as to why they may not have been chosen.
● Sarah Faulkner and Tammy Gann asked the Commissioners to continue to
review it before the next meeting and to feel free to reach out to Sarah
Faulkner with any questions or comments.
● Tammy Gann stated that we should know how much money we will be given
to distribute to grant applicants after October 1.
V. Review current arts projects, past events, and upcoming events: Sarah Faulkner
discussed the COVID-19 Impact Form for current recipients of HAC grants. This
form is for the projects to indicate how their project has been impacted by the
pandemic. Sarah stated that the forms would be sent out to each of the projects, and
she would provide an update at the July meeting.
VI. Adjourn the meeting: The meeting was adjourned at 5:45 p.m. on a motion by
Margaret Smith and a second by Paul Olle.

Attendees are encouraged to wear face masks. The City reserves the right to deny access to the meeting for the safety
of its citizens. Audio of the meeting will be available upon request.

551, Sections. If a Closed or Executive session is held in accordance with the Texas Government Code as set out above, the
Board will reconvene in Open Session in order to take action, if necessary, on the items addressed during Executive Session.
