Laconia Putnam Fund Board of Trustees Meeting September 3, 2021 This meeting was called to order on Friday, September 3, 2021, held at 45 Beacon Street East, Laconia City Hall, Laconia, NH with the following in attendance: Jim Rogato, Linda Peary, Rich Landry, Betty Ballantyne, and absent Charles Bradley. Guest appearance: Jacob Crumb, Manager of the Colonial Laconia Theater. MINUTES: August 5, 2021, minutes submitted were approved as presented. PREPARATION FOR JAY & THE AMERICANS: The police detail has been finalized. Officer Brown will be handling this show. Ushers on hand will be Jim and Judy, Charles, Betty and Roger, Linda, and Ken Anderson. Doors open at 6:00 pm. We are to be present at 5:45pm. At 2:00 pm Jim & Charles will be letting in the band and at 3:00 pm will be the sound check. Betty will handle the ordering and pickup of the food and drinks. Linda & Tom will be getting the hot coffee and will meet with Rich and Betty at 2:00 p.m. at the Colonial with the food delivery. Betty and Rich will provide their personal coolers. We are to use the solid green door closest to Achber’s on Canal Street to enter for the show. Julie’s room was cancelled without penalty. She currently is unable to attend in knowing of the travel time and her back problems currently. She expects to see us all at the next Program on September 17, 2021. The hospitality to do list is being handled by the Board. There will be no intermission. RAT PACK UPDATE: All the tickets are committed. Our last sale was sold out in 10 minutes time. The room accommodations at the Marriott are handled and secured by Linda. JACOB CRUMB – MANAGER OF THE LACONIA COLONIAL: Jacob did share with us protocols and more for this show and more. We received a hard copy of the demographics of who secured tickets for the Rat Pack show. Predominantly, Laconia and surrounding communities benefited securing the tickets. A hard copy will be submitted with the minutes. The process of the standby line has been outlined and tasks at hand is settled. Primarily, the standby line will be outside the lobby along the front of the store. The merchandise table is to be handled by the band. It will be in the lobby after the show. A 2-ticket maximum or 4 ticket maximum will be discussed with Dan Berube who handles the marketing, ticketing, and algorithm for the online process on the Laconia Colonial website. Also, to be reviewed by the board after this first show. The Colonial will follow State & Local guidelines for COVID protocol. A third-party ticket was discussed and how it should be handled if we are approached with a non-Putnam ticket. Though it’s legal, we will need explain to the ticket holder the why and how. We will accommodate them if the seats are available, though we would not refund them the monies spent through the third-party purchase. We discussed box office sale of tickets on premise to be coordinated with the online sale of tickets. We may open the box office for two to three hours, lined with the online sale. Jacob is to get us an estimate of cost to provide this service. We may consider doing so for the next two shows. It was also explained that the theater has an advance air filtration system whereases the fresh air is recycled 45 times in an hour, therefore every 90 seconds the air is refreshed. A printed hand out of the Colonial Theater expectations for the ushers was given to us. A hard copy will attach with these minutes. PUTNAM FUND DESCRIPTION & MOTTO: Hard copy will attach with these minutes. TAYLOR COMMUNITY COVID PROTOCOL: Yesterday we received an e-mail from Brenda Kean of the Taylor Community that their protocol due to Covid is to only allow their residents to attend programs on their premises. No one outside of the residents will be allowed to attend our Putnam programs. We have two programs scheduled at the Taylor Community in November. It is a consensus to cancel our programs held at the Taylor Community and to look at other avenues in Laconia to be held on the same dates. Betty will reach out to Tara Shore with the possibility of the Belknap Mill. It is our mottos that the “Laconia Putnam Fund is dedicated to providing the gift of cultural enrichments free of charge to all and presented in Laconia.” To have the shows limited to only the Taylor Community does not comply with the Trust policy. ATTIRE: The volunteer Ushers will be asked to wear white shirts and black slacks for the events. The Board will dress professionally and where their name tags for identification. NEXT MEETING: October 1, 2021, at 9:30 am to be held at City Hall. With no further discussion was to come to the Board, the meeting adjourned was made in motion by Linda and Rich seconded it with all in favor at 10:45 am.
