BOARD OF PUBLIC WORKS AND SAFETY MINUTES October 18, 2016 Regular Session: The Board of Public Works and Safety met in regular session on Tuesday, October 18, 2016 at 9:00 a.m. in the Common Council Chambers. Members present were: Gary Henriott, Cindy Murray, Norm Childress, Dawn Ross and Ron Shriner Jacque Chosnek, 1st Deputy City Attorney, was also present. President Henriott called the meeting to order. The Pledge of Allegiance was given to the flag of our Country. MINUTES Mrs. Murray moved for approval of the minutes from the October 11, 2016 regular meeting. Mr. Shriner seconded. Passed. NEW BUSINESS Engineering Recommendation for Award-2017 Sagamore Parkway Phase I Right of Way Planting Project Leanne Wells, Urban Forester, presented to the Board and recommended approval of a Recommendation for Award for the 2017 Sagamore Parkway Phase I Right of Way Planting Project with Custom Cuts Lawn Care in the amount of $144,598.53. Mrs. Ross moved for approval. Mr. Childress seconded. Passed. Contract-2017 Sagamore Parkway Phase I Right of Way Planting Project Ms. Wells presented to the Board and recommended approval of a Contract for the 2017 Sagamore Parkway Phase I Right of Way Planting Project with Custom Cuts Lawn Care in the amount of $144,598.53. Mr. Shriner moved for approval. Mrs. Murray seconded. Passed. Notice to Proceed-2017 Sagamore Parkway Phase I Right of Way Planting Project Ms. Wells presented to the Board and recommended approval of a Notice to Proceed for the 2017 Sagamore Parkway Phase I Right of Way Planting Project that would begin on March 15, 2017. Mrs. Murray moved for approval. Mr. Childress seconded. Passed. Change Order #1-Greenbush Street Resurfacing and Traffic Signal Project Jenny Leshney, Public Works Director, presented to the Board and recommended approval of Change Order #1 for the Greenbush Street Resurfacing and Traffic Signal Project. The change order is an increase in the amount of $9,422.99 which brings the revised contract amount to $811,223.99. Mrs. Ross moved for approval. Mr. Shriner seconded. Passed. Board of Public Works and Safety October 18, 2016 Page 2 Certificate of Completion-Greenbush Street Resurfacing and Traffic Signal Project Mrs. Leshney presented to the Board and recommended approval of a Certificate of Completion for the Greenbush Street Resurfacing and Traffic Signal Project. Mr. Shriner moved for approval. Mrs. Murray seconded. Passed. Certificate of Completion-Old Romney Road Reconstruction Mrs. Leshney presented to the Board and recommended approval of a Certificate of Completion for the Old Romney Road Reconstruction. Mr. Childress moved for approval. Mr. Shriner seconded. Passed. Clerk’s Office Contract Renewal-Henriott Group for Wellness Coaches USA Mrs. Murray presented to the Board and recommended approval of a Contract Renewal with Henriott Group for Wellness Coaches USA. The contract will add an additional day per week for the wellness coach starting January 2017. Mrs. Murray moved for approval. Mr. Childress seconded. Passed. President Henriott abstained. Water Pollution Control Agreement with Williams Creek Consulting for Brown Street Sewer Project Brad Talley, Water Pollution Control Superintendent, presented to the Board and recommended approval of an Agreement with Williams Creek Consulting for Brown Street Sewer Project in the amount not to exceed $45,500.00. Mr. Talley stated that the contract is part of the City of Lafayette’s requires for the Long Term Control Plan. The study area will be along the Brown Street corridor and the immediate adjustment properties and will identify potential opportunities for Green Infrastructure for the overall project. Mr. Talley gave a short description of the overall project for Brown Street. Mrs. Ross moved for approval. Mr. Childress seconded. Passed. CLAIMS Mike Jones, Controller, presented for Board approval, Claims in the amount of $3,099,987.33. President Henriott asked if there were any further questions and there were none. Mrs. Murray moved for approval. Mr. Shriner seconded. Passed. MISCELLANEOUS Special Event Request-Trunk or Treat Lori Walters, Faith Community Development, presented to the Board and recommended approval of a Special Event Request for Trunk or Treat to be held on October 29, 2016 from 4:30pm-8:30pm in the Lincoln Neighborhood. Mr. Childress moved for approval. Mr. Shriner seconded. Passed.
