BOARD OF PUBLIC WORKS AND SAFETY MINUTES August 29, 2017 Regular Session: The Board of Public Works and Safety met in regular session on Tuesday, August 29, 2017 at 9:00 a.m. in the Common Council Chambers. Members present were: Norm Childress, Cindy Murray, Dawn Ross and Ron Shriner. Absent: Gary Henriott Ed Chosnek, City Attorney, was also present. Mrs. Murray called the meeting to order. The Pledge of Allegiance was given to the flag of our Country. MINUTES Mrs. Ross moved for approval of the minutes from the August 22, 2017 regular meeting. Mr. Shriner seconded. Passed. BID OPENING Prairie Lane Watermain Replacement Project This being the time set to open bids for Prairie Lane Watermain Replacement Project, the following bids were received and opened: R & W Conctracting, Inc. West Lafayette, Indiana Base Bid: $344,600.00 Mr. Shriner moved to take the bid under advisement for further review. Mr. Childress seconded. Passed. NEW BUSINESS Engineering Recommendation for Award-2017 Pavement Markings Jenny Leshney, Public Works Director, presented to the Board and recommended approval of a Recommendation for Award for 2017 Pavement Markings with Roadsafe Traffic Systems in the amount of $146,069.19. Mr. Childress moved for approval. Mrs. Ross seconded. Passed. Contract-2017 Pavement Markings Mrs. Leshney presented to the Board and recommended approval of a Contract for 2017 Pavement Markings with Roadsafe Traffic Systems in the amount of $146,069.19. Mr. Shriner moved for approval. Mrs. Ross seconded. Passed. Board of Public Works and Safety August 29, 2017 Page 2 Notice to Proceed-2017 Pavement Markings Mrs. Leshney presented to the Board and recommended approval of a Notice to Proceed for 2017 Pavement Markings. Mr. Shriner moved for approval. Mrs. Ross seconded. Passed. Change Order #2-Sagamore Parkway Reconstruction, Phase 3 Mrs. Leshney presented to the Board and recommended approval of Change Order #2 for the Sagamore Parkway Reconstruction Phase 3. The change order is in the amount of $40,060.00 which brings the revised contract amount to $12,650,201.55. The change order includes modification to the sanitary structures, unexpected items that were found and conflicts with storm structures. Mr. Childress moved for approval. Mr. Shriner seconded. Passed. CLAIMS Mike Jones, Controller, presented for Board approval, Claims in the amount of $1,880,815.73. Mrs. Murray asked if there were any further questions and there were none. Mrs. Ross moved for approval. Mr. Childress seconded. Passed. MISCELLANEOUS Special Event Request-Cots and Pots Chili Cook-Off Mrs. Murray presented to the Board and recommended approval of a Special Event Request for the Cots and Pots Chili Cook-Off to be held on October 7, 2017 from 4:00pm-8:00pm on Main Street between 4th and 5th Streets. Mr. Shriner moved for approval. Mrs. Ross seconded. Passed. Special Event Request- Mosey Down Main Street 19th Anniversary/50th Mosey Mrs. Murray presented to the Board and recommended approval of a Special Event Request for the Mosey Down Main Street 19th Anniversary/50th Mosey to be held on October 14, 2017 from 5:00pm- 10:00pm on Main Street from 6th to 11th Streets. Mrs. Ross moved for approval. Mr. Childress seconded. Passed. Special Event Request-Black Sparrow Block Party Mrs. Murray presented to the Board and recommended approval of a Special Event Request for the Black Sparrow Block Party to be held on October 14, 2017 from 8:00pm-12:00am on Main Street from 2nd to 3rd Streets. Mr. Shriner moved for approval. Mr. Childress seconded. Passed. Special Event Request-Sidewalk Chalk Festival Mrs. Murray presented to the Board and recommended approval of a Special Event Request for the Sidewalk Chalk Festival to be held on September 6-10, 2017 from 1:00pm-5:00pm on North Street between 6th and 8th Streets. Mrs. Ross moved for approval. Mr. Childress seconded. Passed.
